Duties & Responsibilities
  • Provide administrative support to the Vice President of Business Development and the Director of Major Giving.
  • Prepare and maintain the Business Development planning calendar, including key milestones for budgeting, forecasting, quarterly business reviews, and fiscal year transitions.
  • Manage calendar invites and logistics for team events, cross‑functional meetings, and agency partner reviews related to budget cycles and quarterly planning.
  • Assist with coordinating recurring meetings, team check‑ins, and cross‑functional sessions, ensuring agendas, materials, and logistics are managed effectively.
  • Maintain and update priority tracking tools to ensure project status, deadlines, and ownership are accurate and up to date across departments.
  • Track key team milestones and engagement touchpoints to support operational cadence that fosters team connectivity and reinforces organizational culture.
  • Transcribe notes during meetings, including directives and assignments, to be distributed to attendees.
  • Maintain the Business Development department’s shared drive, ensuring files are organized, accessible, and aligned with team structure and needs.
  • Assist in developing documentation, standard operating procedures, and training materials for new processes or technologies.
  • Coordinate research on tools and technologies to improve team performance and provide recommendations to leadership.
  • Support leadership with presentations, reports, and summaries for internal and executive audiences.
  • Plan and schedule meetings, appointments, conferences, and teleconferences on behalf of leadership and teams. Ensure details are communicated properly to participants and logistics are effectively planned and executed.
  • Perform general office duties, including answering phones, managing correspondence, and organizing, filing, and maintaining documents and records with discretion and confidentiality.
  • Prepare reports, presentations, meeting notes, spreadsheets, and briefs to be shared with leadership and other teams.
  • Generate and prepare bi‑weekly, monthly, and quarterly reports for leadership review.
  • Create, file, and reconcile expense reports using the designated system (e.g., Workday).
  • Support special projects, campaigns, fundraisers, and key initiatives across Business Development and other WWP teams.
  • Identify and recommend ways to improve current Business Development processes, practices, and procedures, in collaboration with leadership.
  • Attend and actively participate in required training and/or meetings, including but not limited to New Teammate Orientation, WWP Cares, ASIST Suicide Prevention training, Leadership training, culture/team‑based training, or departmental huddles.
  • Other related duties as assigned.

  • Exceptional ability to manage administrative activities for senior management and staff, demonstrating strong organizational and time‑management skills to prioritize multiple timelines, projects, and requests.
  • Well‑developed interpersonal skills to effectively interact and communicate with diverse individuals.
  • Proven ability to delegate and coordinate tasks across multiple teams, ensuring effective collaboration and efficient task management.
