Operations & Systems Coordinator (Remote – Full-Time, South Africa)
About the Role We’re looking for a proactive and detail-oriented Operations & Systems Coordinator to support our staffing and payroll operations — with a strong focus on data accuracy, systems administration, and process optimization.
You’ll play a key role in keeping our internal tools and workflows (Job Diva ATS, Paylocity, and integrated systems) running smoothly, ensuring our consultants, hiring managers, and finance team stay aligned.
This is a great opportunity for someone who enjoys structure, analytics, and improving processes, and who can work independently without needing micromanagement.
You’ll collaborate closely with our high-energy New York team (US EST hours), serving as a reliable operational partner to leadership.
What You’ll DoAdminister and maintain Job Diva (ATS) — ensure data accuracy, run reports, and support system integrations.
Coordinate payroll cycles and consultant timesheets, ensuring all time and approvals are captured accurately.
Generate reports and analytics from Job Diva and related systems to support decision-making.
Maintain and update operational manuals and SOPs as processes evolve.
Support system-related projects, such as integrating new vendors or tools.
Prepare and send onboarding packages, background checks, and compliance documentation.
Communicate with consultants, hiring managers, and vendors to ensure smooth operations.
Provide ad hoc administrative and project support to the executive team.
Strong English communication — both written and verbal.
3–10 years of experience in operations, administration, or systems coordination.
Experience with database or ATS/CRM administration (Job Diva, Zendesk, Salesforce, etc.).
Highly organized, detail-oriented, and process-driven — enjoys creating order and documentation.
Analytical mindset with the ability to extract and interpret data from systems.
Proficient with Microsoft Office (Excel, Outlook, Word).
Comfortable working independently in a remote, fast-paced environment.
Tech-savvy and quick to learn new tools.
Nice to Have
Experience in staffing, recruiting operations, or consulting environments.
Familiarity with Paylocity or similar payroll systems.
Experience creating and maintaining SOPs or training manuals.
Exposure to data analytics or financial modeling is a plus.
$8–14 USD/hour, depending on experience.
Full-time, remote position (≈40 hrs/week, US EST hours).
Independent contractor setup with flexibility and autonomy.
Onboarding and ongoing training on Job Diva, Paylocity, and related tools.
Direct collaboration with a dynamic, high-performing New York team.
Exposure to operations, analytics, and systems management.
Observance of standard US holidays and a fair PTO policy.
