This role manages transportation, customs documentation, EDI processes, and order fulfillment, ensuring timely delivery, cost control, and compliance with quality and regulatory standards.
The Logistics Specialist will be the primary owner of retailer disputes, including investigation, documentation, resolution, tracking, and reporting.
The Logistics Specialist role is a 12-month maternity leave contract .
The role allows for remote work in Ontario, Canada only .
Travel may be required on occasion.
Must be legally eligible for employment and reside in Ontario, Canada.
The start date of this position will ideally begin in mid-to-late March of 2026 .

Responsibilities:
Shipping & Transportation Coordinate domestic and international shipments, ensuring on-time delivery and compliance with carrier and customs requirements.
Prepare, review, and process shipping documentation, including packing slips, labels, invoices, customs paperwork, and Chamber of Commerce certifications.
Track shipments, resolve delays, customs holds, freight claims, and other discrepancies, ensuring smooth order fulfillment.
Order Management, EDI, and Inventory Support Manage customer purchase orders, ship requests, and related documentation, ensuring accuracy across EDI transactions (invoicing, PO acknowledgments, ASNs, and labeling).
Maintain up-to-date order status in Net Suite, spreadsheets, and customer portals, and coordinate shipment of samples, donations, and tradeshow materials.
Resolve order and shipment issues, including tracking discrepancies, RMAs, and shipping adjustments; coordinate return merchandise authorizations and product destruction with full documentation.
Support inventory accuracy through physical counts, reconciliation follow-ups, and reporting on logistics costs, inventory status, customer orders, and related KPIs.
Retailer Disputes Management (Primary Owner) Serve as the main point of contact for retailer logistics-related disputes (e.g., chargebacks, shortages, late delivery claims, compliance infractions).
Investigate disputes by reviewing PODs, BOLs, ASN records, system logs, warehouse reports, and communication trails.
Prepare and submit dispute packages, supporting documentation, and evidence for resolution.
Maintain an organized dispute log and generate monthly dispute reporting for the Director, including trends, root cause insights, and preventive recommendations.
Partner with the Supply Chain, 3PLs, Sales, and Finance to gather information and prevent future recurring issues.
Quality & Compliance Ensure logistics activities comply with company SOPs, quality standards, ISO requirements, and B-Corp policies.
Recommend and document process improvements for logistics workflows.
Collaboration & Continuous Improvement Partner with Sales, Operations, QA, Accounting, and warehouse teams to ensure smooth order fulfillment.
Participate in monthly warehouse meetings to review performance, identify issues, and recommend improvements.
Stay current on logistics best practices, regulatory requirements, and technology tools (EDI, Net Suite, portals).
