Personal Assistant / Project Manager – UHNWI Family Office
Employment Type: Full-Time | In-Person
Reports To: Principals (Husband & Wife) + Principal of the Family Office – will work between Private Equity Offices and Home Office
About the Role:
An ultra-high-net-worth (UHNWI) couple based in the Miami Beach / Bal Harbor area is seeking a highly capable and trustworthy Personal Assistant / Project & Estate Manager to serve as their right hand across all personal, lifestyle, and estate-related matters. This is a dynamic, high-expectation role for a self-starter who is deeply organized, resourceful, and able to work with autonomy and discretion.
The role also provides direct access to and mentorship from the Principal of the Family Office, with long-term potential to grow into investment or operational roles within the family’s private equity interests.
HUNGRY to be the right-hand person to a CEO. Business Degree required.
Key Responsibilities:
Personal & Executive Support:
- Provide day-to-day personal and logistical support to the husband and wife
- Manage complex scheduling, domestic/international travel arrangements, dining and event bookings, and private aviation
- Handle confidential matters discreetly and professionally, maintaining a high standard of privacy
- Perform deep research on travel, purchases, vendors, and other high-value decisions on behalf of the family
- Oversee multiple high-end residential properties across the U.S.
- Coordinate with property managers, service providers, and contractors to ensure properties are maintained to the highest standards
- Manage household staff and vendors; ensure readiness for family arrivals
- Maintain inventories, household manuals, and standard operating procedures
- Review invoices, reconcile expenses, and assist in budget tracking
- Utilize Microsoft Excel to organize financial data and prepare summary reports
- Understand and apply financial language when working with vendors, advisors, and internal stakeholders
- Coordinate with accountants, attorneys, and other professionals connected to the family office
Family Office & Mentorship:
- Work directly with the Principal of the Family Office on select operational matters
- Receive mentoring and exposure to the family’s private equity and investment ventures
- Participate in internal projects, research, and initiatives that support long-term professional development
Required Qualifications:
- Bachelor’s degree or near-completion in Business, Finance, Accounting, or related field
- Minimum 2–5 years of experience in a Personal Assistant, Estate Manager, or Executive Support role, preferably supporting HNW/UHNW clients
- Proficient in Microsoft Excel and financial terminology
- Strong skills in independent research, organization, multitasking, and prioritization
- Must be a self-starter with excellent judgment and follow-through
- Ability to operate autonomously, maintain discretion, and anticipate needs proactively
- Must reside in or be able to reliably commute daily to the Miami Beach / Bal Harbor area
- Spanish is a plus, not required
- Flexibility to travel occasionally, and to respond after hours when needed
