Proposal Coordinator

The Hatcher Group is seeking a detail-oriented Proposal Coordinator to support our business development efforts. In this role, you’ll help produce and manage the submission of capability statements, proposal content, case studies, resumes, pricing/staffing charts, and past performance summaries that align with response strategies.

In this role, you will play a key role in developing proposals that are compliant, responsive, and competitive. Your responsibilities will include:

• Scheduling, tracking, and managing proposal meetings and deliverables.
• Participating in the proposal development process from a go/no-go decision through outlining, writing, gathering content, and submission.
• Supporting the coordination and completion of designated certifications, required forms, and other corporate documents.
• Generating, tracking, reviewing, and following up on data calls for internal and subcontractor teammates.
• Supporting positive teambuilding and assisting in business development activities and capture management.
• Maintaining the accuracy of information across our proposal tracking tools through  and Box.
• Routinely updating and maintaining our proposal library matrix.
• Collaborating with our design team to create proposal graphics, covers, charts, tables, and process diagrams.
• Attending pre-proposal conferences, capturing and tracking all client responses, and sharing feedback with proposal teams.
• Supporting lessons learned processes and after-action reports by interviewing team members and making recommendations for improvement.
• Reviewing final proposals to ensure that all terms and conditions are met.
• Producing, packaging, and delivering proposals by email, overnight mail, or hand.

• Bachelor’s degree with 2 to 4 years of related proposal coordination experience.
• Strong work ethic and ability to juggle multiple deadlines.
• Ability to work directly with internal clients and manage projects in collaboration with others.
• Previous proposal writing experience, or a curiosity to build your writing skillset.
• Proficiency in Microsoft Office tools.
• Flexibility to quickly adapt when high-priority needs arise.
• Experience working under pressure with deadlines.

We are pleased to offer a competitive salary range of $67,000 to $80,000 per year based on experience and aligned with our internal standards.
