Operations Assistant

Overview

Operations Assistant based in the home office in Guilford, CT. Supports the Hotel & Engineering Departments across the fleet of American Cruise Lines ships. Responsibilities include purchasing, logistics, reporting, writing, scheduling and analytics. Ideal candidate is detail oriented, organized, and thrives in fast-paced environments.

• Generate and send annual, monthly & weekly reports.
• Handle sensitive employee information with confidentiality.
• Correspond with vendors and shipboard personnel.
• Review and code invoices with accounts payable.
• Write business letters.
• Manage Hotel & Culinary shipboard management expense reports and submit for reimbursement.
• Review upcoming cruise manifests for special requests.
• Assist with creating spreadsheets in Excel.
• Arrange & organize submitted material for fleetwide audits.
• Coordinate with administrative teams in Hotel, Engineering, Marine, Talent Acquisition and Training Departments.
• Flexibility to adapt to multiple projects with the ability to multi-task.

• Bachelor's Degree in Business preferred.
• Advanced-level proficiency and expert in Excel.
• Advanced-level proficiency in Microsoft Office Suite and Adobe Acrobat electronic document production, filing, and analysis across Word-Excel-PowerPoint-Adobe.
• Strong organization skills.
• Strong organization, proofreading, and communication skills.
• Detail-oriented professional skills in multi-task execution and tracking.
• Must be able to work onsite in Guilford, CT.
