JOB DESCRIPTION - Sourcing Specialist
Who is Prestige?
Prestige Global Meeting Source, founded in 1986, provides site selection and event services to clients. Our experienced sales partners work to find and contract the best possible hotels, resorts, DMCs, and cruises for groups and continue through to full‑service event development and management.
What will I do?
The Sourcing Specialist is responsible for strategizing with the client to recommend hotel options that fulfill the required meeting specifics. They will use their extensive knowledge of hotels and destinations to exceed the client’s expectations while ensuring the timely delivery of proposals, quotes, and contracts. They will negotiate effectively and execute contracts in line with contracting guidelines.
Compensation
The salary range for the role is $65,000 - $71,000 per year depending on experience.
Key Accountabilities
Meeting/Event Hotel Sourcing, Negotiations & Contracting (75%)
- Manage the sourcing process from start to finish based on client requirements for meetings of various lengths, sizes, destinations, and time of year.
- Review and consult on meeting request forms sent by the client to verify they are complete and accurate before sending them to hotel partners.
- Respond to requests promptly with consistent follow‑up and adherence to standard operating procedures.
- Follow and manage the entire process in the client‑managed CVENT sourcing tool.
- Work with selected hotels to ensure all meeting specifications are identified and to ensure the best options for the client events.
- Manage, negotiate, and adhere to all contracting guidelines as identified in standard operating procedures.
- Evaluate, recommend, and select supplier(s).
- Maintain a high level of “Customer Focus” attitude and flexibility with hours worked to accommodate client contacts in various time zones.

Administrative (25%)
- Maintain accurate details pre- and post‑contracting to ensure financial data is captured.
- Support the team with file and data management.
- Provide back‑up for other team members as needed.

Required Education and Experience
- High School Diploma or G.E.D., and 5+ years of experience in event management, including planning conferences, incentives, association, and/or corporate events.
- Minimum of 5 years’ experience working with the Cvent sourcing tool.
- Minimum of 5 years’ experience with hotel sourcing, site selection, negotiating and hotel contracts.
- Proficient strategic meeting planning and buying knowledge.
- Strong problem‑solving and communication skills.
- Ability to work under pressure and meet deadlines in a fast‑paced work environment.
- Ability to work independently and with a team when needed, as well as having patience and perseverance when unforeseen issues arise.
- Excellent time‑management skills with the ability to meet deadlines and manage multiple projects simultaneously.
- Ability to effectively build professional rapport with team and clients.
