The Contracts Administrator is responsible for managing the preparation, review, and administration of contracts throughout their lifecycle. This role ensures compliance with company policies, legal requirements, and contractual obligations while supporting internal stakeholders and external partners.
Key Responsibilities- Lead the efforts for the team to draft, review, and edit contracts, agreements, and amendments.
- Administer procurement contracts and purchase orders from award through closeout.
- Track and manage contractual deliverables, milestones, and compliance requirements.
- Manage contract modifications, change orders, and scope adjustments.
- Identify potential risks in contract terms and propose mitigations.
- Lead management of contractual claims from contractors.
- Create and implement dispute prevention and resolution strategies.
- Draft claims management documentation (letters, agreements, settlements, presentations, term sheets).
- Track status of ongoing or foreseeable contractual disputes and determine mitigatory actions.
- Advise project teams on coordination and communication strategies to manage contract performance and risk.
- Ensure adherence to contractual obligations, regulatory requirements, and internal policies.
- Maintain accurate contract documentation and version control.
- Support audits and reporting requirements related to contracts.
- Ensure documentation is complete and ready for internal or external audits.
- Serve as lead negotiator on behalf of project teams with vendors, clients, or subcontractors.
- Act as a liaison between internal teams and external parties to clarify contract terms and resolve issues.
- Provide contractual guidance to cross‑functional business team leaders and staff.
- Support Program and Engineering teams to negotiate favorable, executable, and realistic contractual terms.
- Prepare reports on contract status, compliance, and performance metrics for management.
- Track action items and eikä document packages for internal review and approval.
- Educate internal stakeholders on contract policies and procedures.
- Collect, report, and take actions on lessons learned during project execution to inform and improve future contract negotiations.
- Maintain and update contract management systems or ERP platforms.
- Participate in status update meetings with key contractors and the project team to help identify potential contractual issues.
- Perform procurement planning and identify large‑scale subsystems, components, equipment, and services to be acquired by project‑specific contract.
- Prepare, coordinate, and finalize contractual documents such as NDAs, teaming agreements, service agreements, and correspondence.
- Coordinate contracting activities with Contract Specialists and legal.
- Develop procedures and documentation for internal processes and administrative controls.
- Apply objective criteria for evaluating proposals to provide the best contractual terms.
- Bachelor’s degree in Business, Law, Supply Chain, Engineering, Project Management, Construction Management, or related field (or equivalent experience). Must have
- 2–5+ years of contract administration and/or procurement experience.
- Experience in construction, engineering, or highly regulated industries (nuclear, energy, aerospace, defense).
- Strong understanding of contract law, contract terms, conditions, and commercial practices.
- Knowledge of procurement and supply chain processes.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and contract management software.
- High attention to detail with strong organizational and time‑management skills.
- Ability to manage multiple contracts and priorities simultaneously.
- Master’s degree highly valued.
- 5+ years of experience in construction project management, contract management, claim management, or related roles.
- Experience with construction and supply contracts, including on‑site experience.
- Experience with SAP, ISN and Sirion.
- Knowledge and experience with Owners Controlled Insurance Programs.
- Knowledge of contract administration procedures and dispute resolution techniques.
- Understanding of technical specifications, codes, and industry standards.
- Professional certification such as CPSM or similar.
- Strong negotiation and presentation skills.
- Strong interpersonal skills, including ability to maintain calm and effective exchanges during stressful situations.
