Client Operations & Data Entry Specialist – Luxury Goods

Our client is looking for a Data Entry & Client Operations Specialist to manage luxury product data, image file structures, and client communications while supporting operational administrative tasks and network building.

Schedule: Monday to Friday, with shift options of 9:00 AM – 1:00 PM or 2:00 PM – 6:00 PM UK Time Zone (20 work hours per week - subject to increase to 40 hours per week)

1. Data Entry and Product Management:

• Research and extract complete product specifications from official luxury brand websites and supplier platforms
• Upload and input master product data—including images, descriptions, model numbers, and extended details—into the company's AI-powered platform
• Rename, organise, and structure image files from in-house photo shoots to maintain a consistent file management system
• Cross-reference abbreviated Whats App product listings against master product records to ensure data integrity
• Maintain accuracy and consistency across hundreds of product entries, distinguishing between highly similar luxury items

2. Client Communications and Operations:

• Provide high-touch, personalised communication to ultra-high-net-worth clients regarding luxury product availability and sourcing
• Assist with client enquiries, order confirmations, and follow-up communication in a professional and discreet manner
• Support delivery and logistics coordination, ensuring a seamless end-to-end client experience
• Conduct outreach to personal shoppers globally to build the company's database for the Personal Shopping Association
• Assist the team lead by managing day-to-day administrative tasks, reducing operational bottlenecks, and refining platform workflows

• Exceptional attention to detail with the ability to differentiate between closely related luxury product variants
• Strong organizational and interpersonal skills with the ability to build rapport with high-profile clients and manage large volumes of files and data
• High level of discretion and professionalism when handling sensitive client information
• Ability to work independently, adapt quickly, and follow documented processes with minimal supervision
• Background in fashion, consumer sciences, luxury retail, or a related field is highly desirable
• Willingness and eagerness to learn about luxury goods brands, product categories, and personal shopping through provided hands-on training
