The Admissions Officer reports to the Executive Director and manages student recruitment, application processes (Scholars and BA), and enrollment services. This role develops and implements recruitment strategies, oversees application processing, and coordinates financial aid and scholarship information to support institutional enrollment goals.

RESPONSIBILITIES

  • Recruitment Strategy
    • Develop and execute comprehensive student recruitment plans.
    • Create and manage digital recruitment campaigns to engage prospective students.
    • Establish recruitment territories and targeted outreach strategies.
    • Lead international student recruitment initiatives.
    • Develop partnerships with educational institutions and organizations.
    • Coordinate virtual and in-person recruitment events to increase student engagement.
    • Identify and attend conferences, workshops, and national/local events for recruitment opportunities.
    • Organize information sessions and recruitment events (both online and in-person).
    • Provide personalized support and guidance to applicants throughout the admissions process.
    • Maintain a positive and welcoming approach in all communications and interactions.
  • Application Processing
    • Design and oversee the application review process.
    • Manage the application platform for efficient processing.
    • Review applications, ensuring all required documentation is complete and accurate.
    • Coordinate with academic departments to evaluate and approve applications.
    • Verify documents to ensure application accuracy.
    • Implement admission criteria in alignment with institutional goals.
    • Oversee decision communications, including acceptance and rejection notifications.
    • Manage the appeals process for admission decisions.
    • Oversee scholarship programs, including the Andrea Scholarship and general scholarship fund for Ribaat students.
    • Manage financial aid processes and coordinate with financial aid offices.
    • Develop scholarship criteria in collaboration with academic departments and donors.
    • Oversee award notifications and ensure timely communication with recipients.
    • Maintain and update the scholarship database.
    • Coordinate with the development team to ensure effective scholarship fund management.
  • Marketing & Communications
    • Collaborate with the Ribaat team to develop recruitment materials, including brochures, flyers, and presentations.
    • Manage admissions-related website content, ensuring accuracy and appeal.
    • Contribute to social media strategies for student recruitment.
    • Organize virtual campus tours for prospective students.
    • Oversee the creation of admissions publications and promotional materials.
    • Utilize CRM tools to track and engage prospective students.
  • Admissions Team Management
    • Supervise the admissions team (primarily volunteer-based), including Admissions Counselors, Recruitment Specialists, and the Scholarship Coordinator.
    • Provide training and professional development to enhance team performance.
    • Ensure admissions processes are applicant-centered and efficient.
    • Lead initiatives to increase enrollment through strategic planning and team collaboration.
  • Record Keeping & Reporting
    • Maintain accurate records of prospective and admitted students.
    • Complete reporting responsibilities in accordance with Rabata policies.
  • Bridging Responsibilities
    • Assist prospective students with any necessary bridging processes.
    • Work with student services to provide accurate information and assistance for students requiring additional support.
  • QUALIFICATIONS

    • Strong interpersonal and communication skills.
    • Experience with recruitment strategies and enrollment management.
    • Positive attitude and enthusiasm.

    Enhanced Qualifications:

    • Master’s degree in Education or related field.
    • 3+ years of experience in admissions, with expertise in international recruitment.
    • CRM system expertise and data analysis capabilities.
    • Strong marketing and communications skills.
    • Knowledge of financial aid processes and scholarship management.
    • Multi-cultural competency and experience working with diverse student populations.

    SKILLS

    • Fluency in English; proficiency in additional languages is a plus.
