Position Overview

We are looking for an individual to support IFSA’s programmes in Rome, Italy. As a student experience coordinator, you will provide academic and cultural support for undergraduate Study Abroad students, organize co‑curricular activities, and contribute to overall operations.

You’ll collaborate with local and international teams across Europe, Global Health & Safety, Programme Operations, Academic Programmes, and Student Engagement.

In This Position, Your Responsibilities Would Include

Support orientation, excursions, and other events as needed, with a special focus on custom programs planning, delivery, and post‑delivery follow‑up.

Assist IFSA staff and faculty with planning and delivery of co‑ and extra‑curricular activities.

Assisting in preparing and presenting pre‑arrival student webinars.

Coordinating program arrivals.

Assisting with welfare check‑ins.

Coordinating and supporting excursions, co‑curricular activities, orientations and other events as needed.

Assisting in preparing and implementing program budgets.

Conducting appreciative advising meetings, including learning plan consultations, and regularly meeting with students to assess their experiences and help resolve problems.

Monitoring student integration and well‑being through regular communication and campus visits.

Supporting academic management of programmes, including the course registration process.

Supporting the planning and delivery of custom programmes.

Contributing to emergency response and student incident management based on established protocol.

Being initial point of contact for general student inquiries.

Support IFSA staff and faculty ensuring completion of all programme evaluations for feedback/continuous improvement planning.

Preparing student and University partner‑facing communications, newsletters, and social media posts.

Carrying out other duties assigned by Italy Programmes Director to assist with student services and program operations.

Participating in other projects, as assigned, that may include opportunities to contribute to other IFSA site operations via remote work; opportunities to work with Student Engagement on pre‑arrival student advising; opportunities to work with Institutional Engagement to develop institutional partner relationships.

Requirements, Work Experience And Education

Work experience in sectors such as higher education, tourism, event planning, or hospitality preferred.

Strong time management and planning skills, with the ability to work independently to execute time‑sensitive tasks and duties successfully.

Sufficient professional proficiency in Italian and English to carry out all of the on‑site duties of the position in both languages.

Strong attention to detail in creating internal and external documents and in managing programme and administrative data.
