Job SummaryThe Program Coordinator supports the Office of Vice President for Academic Affairs and Provost Curricular Services team by managing academic program proposals, maintaining authorized degree and certificate matrices, coordinating Student Course Feedback surveys, and assisting with faculty credentialing processes. This role requires strong organizational, analytical, and technical skills to ensure accurate data management, compliance with institutional and external requirements, and timely communication with stakeholders.
The Program Coordinator will also provide reporting support and assist with documentation and other duties as assigned.
Bachelor’s degree in a related field, with 3-5 years of experience directly related to the duties and responsibilities specified; or an equivalent combination of education and experience.
PreferredEducation and Experience
Master’s degree and 5 years of experience in higher education or equivalent experience.

Essential Duties and Responsibilities Program Proposal Management- Maintain and update the program proposal tracker for new academic and professional programs.
- Upload proposals into the university repository and record approval dates through all approval stages.
- Monitor external approvals and notify leadership of delays.
- Prepare statistical reports and pivot tables for internal and external reporting.
- Coordinate with colleagues to obtain faculty transcripts and documentation.
- Create and maintain faculty profiles in an electronic repository system.
- Collect and upload Qualifications for Instructional Personnel (QIP) forms.
- Prepare records for credentialing review and resolve missing documentation issues.
- Maintain and update matrices for degrees, certificates, minors, and program modalities.
- Record newly approved programs and administrative changes promptly.
- Prepare statistical reports and pivot tables for internal and external reporting.
- Maintain and update school leadership and department/program head rosters and ensure accurate data.
- Maintain and update the degree program faculty list for the academic catalog.
- Coordinate with academic departments, the Web Applications Technology Group in the Office of Institutional Success and Decision Support, and the Office of the Registrar to ensure that student course feedback surveys are distributed and collected in a manner consistent with UT Dallas policies and Texas state law.
- Troubleshoot and communicate with technical team.
- Monitor webpages using tools such as Visualping for updates.
- Prepare finalized academic program proposals.
- Assist with legislative updates, historical document searches, and institutional report uploads.
- As needed, attend (virtually) and summarize Texas Higher Education Coordinating Board, University of Texas System Board of Regents, and similar meetings.
- Other duties as assigned.
- Advanced Excel skills (pivot tables, formulas, data analysis).
- Familiarity with Power BI or similar reporting tools.
- Experience with a student information system (ex. People Soft).
- Excellent written and verbal communication skills to convey complex information clearly and professionally.
- Strong interpersonal and collaboration abilities to build relationships across departments and serve as a liaison between stakeholders.
- Ability to draft clear reports, proposals, and correspondence with attention to detail and consistency.
- Strong analytical and critical thinking abilities.
- Excellent organizational and communication skills.
- Ability to manage multiple priorities and meet deadlines.
