SummaryOversee the Bank’s investor processing, payoffs, loan purchases, construction loans, file bank, billing, year-end corrections, residential loan rate changes, loan payments, loan fraud, employee loans and DNA upgrades. Ensures the integrity of loan documentation required for construction loan processing and conversions, loan modifications and adjustable‑rate loan adjustments. Monitors the department check processing, payment and payoff of all loan products. Develops policies and procedures to improve efficiency.
Job Responsibilities- Responsible review and signoff on payoff request letters for Consumer & Residential including incoming payoff funds and supporting documentation to be posted in DNA and branch payoff work. Review and signoff mortgage documents for releasing collateral and related reports for Consumer and Residential. Review and signoff on Low Balance Report, and Maturity Report.
- Monitors and approves the outgoing wires for investors, construction loans and taxes. Reviews and approves construction loan advances with supporting documentation and monthly, approves and signoff on Construction Loan Conversions.
- Monthly review purchase loan GL to purchase loan report reconciliation as well as the Purchase Loans Services by Others report.
- Bi‑weekly oversees the ordering of files to be retrieved from File Bank for all departments and the return of files/boxes to File Bank.
- Organize files/boxes to be sent to file bank for all areas within the bank.
- Organized the necessary required paperwork for File Bank.
- Ensure files are permed out of the File Bank system when loans have paid off and ensure files are indexed (input) into the system.
- Ensure all paperwork regarding File Bank is scanned into Nautilus.
- Verify the File Bank system is accurately indexing our loans correctly.
- Monitors and approves Year End corrections – prepare, scan all supporting documentation, make corrections to the system for IRS corrections by required time frame for all loan products for Residential loans.
- Monitors Residential Adjustable‑Rate Loans notification, review and process interest adjustments, and monthly review and approve Low Balance HELOC and ODP accounts.
- Oversee the process for HELOC End of Draw to HELOC In‑Repayment, review and approve pre‑authorized exception transaction report, approve and signoff on Residential Loan Modification Agreements, signoff daily posting of loan transactions by several employees, review and sign‑off on Lockbox processing, signoff the over payment checks and other checks produced by the payment processors.
- Monitors Salesforce cases for the department to ensure cases are being addressed in a timely manner and signed to the accurate queue.
- Review and approve employee loans rate change, payment and reports.
- Responsible for Consumer & Residential billing program changes – testing and implementing, submitting cases to FiServ and testing for system changes and upgrades, oversee all DNA system upgrades.
- Exercises the usual authority of a manager concerning staffing, scheduling, training, performance evaluations and salary recommendations. Demonstrates a commitment to Equal Opportunity Employment and affirmative action.

- Minimum of 7 years of experience in Mortgage & Consumer Banking.
- Excellent organizational and leadership skills.
- Proven problem solving, decision making, and analytical skills.
- Ability to prioritize and manage multiple assignments with good organizational and time management skills.
- Ability to adapt to and lead others through change.
- Excellent written and verbal communication skills.
- Demonstrated proficiency with computer software including MS Office applications, Corelogic, and DNA, a plus.
