Investment Operations Associate

We build clients a comprehensive financial plan that integrates all facets of their financial world including private businesses, real estate, and other assets;

liabilities; insurance; taxes; and cash flow. Most importantly, we prioritize implementation, flexibility, and achieving goals with a high probability of success.

Responsibilities
  • Account maintenance
  • Serve as the main point of contact for all investment account servicing. Including but not limited to, beneficiary changes, account title updates, address updates, and statement requests
  • Provide swift execution of client contribution and distribution requests
  • Follow up on trade/ACAT rejects
  • Assist in tax loss harvesting, tilting, and other strategic investment changes
  • Trade accounts to firm models including both new funding and rebalancing, as needed by the Portfolio Manager
  • Execute buy or sell orders, as needed by the Portfolio Manager
  • Meeting Preparation
  • Partner with planning department to prepare lead advisors for client meetings
  • Provide detailed and accurate updates on all investment account activity ahead of each client meeting
  • New Account Opening
  • Provide support to operations associations to prepare account-opening paperwork along with necessary ancillary forms (e.g. advisory SIS, ACH, ACAT, cash management, TAF, etc.) and obtain all necessary signatures to establish accounts
  • Review paperwork for completeness and accuracy before submitting to compliance
  • Submit and track pending accounts through the final approval process
  • Input client information into our Client Relationship Management (CRM) database
  • Account Funding
  • Collaborate with investment team to complete money-movement forms and establish movement instructions
  • Process ad hoc ACH contributions as needed
  • Collaborate with investment and planning teams to find and implement the best solutions for unique client situations and creatively problem solve issues that arise
  • Collaborate with other operations teammates (e.g. insurance ops, service advisor, etc.) to achieve seamless on-boarding of new clients, efficient execution of plan implementation, and coordinated client communication
  • Develop a solid understanding of the firm’s investment operations, pilot new programs and manage compliance to ensure the practice exceeds standards
  • Determine how best to take advantage of new NM initiatives (e.g. new product offerings, etc.) and align with all new/current company and regulatory requirements (e.g. RegBI, etc.)
  • Ensure that all tasks are documented and kept up-to-date in CRM Opportunities and Tasks as defined by the firm’s workflow procedures
Qualifications
  • Bachelor’s degree or better
  • Life, Accident & Health license (or obtain within 90 days)
  • Series 6 and 63
  • 3+ years of experience in the financial services industry, preferred
  • Efficient with Adobe Acrobat & Microsoft Office Suite, especially Word, Outlook, Excel & One Drive
  • Ability to learn new applications and software
  • Team player, who is highly resourceful with excellent problem‑solving skills
  • Excellent verbal and written communication skills
  • High attention to detail with ability to complete work with a high level of accuracy
  • Ability to document work processes and streamline tasks for efficiency
  • Highly resourceful when leveraging expertise of Home Office for complex situations
  • Comfortable managing, archiving, and moving electronic documents
  • Background of investment compliance and a history of exceeding standard criteria
  • Publicly represent the firm’s strategic brand
