Responsibilities:
The Project Operations function works in collaboration with finance and project managers providing first class operational support along with enterprising solutions in respect of the lifecycle of our external client consultancy projects; in particular, ensuring the swift and accurate administration of project data and client invoices and the appropriate use of systems and processes.
Work in Progress Tracking- Regularly reviewing and updating project status to accurately reflect the level of work completed on each project.
- Analysing WIP reports to identify potential issues like excessive unbilled hours or projects exceeding budget.
- Communicating with project managers to ensure timely updates on project progress and associated costs.
- Check that projects and vendors are correctly set up in the system
- Generate work‑in‑progress/timesheet reports to support invoicing requirements
- Preparing and reviewing client invoices (both 3rd party and intercompany) based on tracked WIP data, including billing codes, rates, and project milestones.
- Identifying and resolving discrepancies between project costs and invoiced amounts.
- Ensuring invoices are submitted to clients (3rd party and intercompany) in a timely manner and comply with company policies.
- Submit clients’ invoices on online portals eg Ariba, Coupa etc when needed.
- Reconciling time and expense reports with project budgets and WIP balances.
- Identifying and addressing any discrepancies or billing errors.
- Generating reports on WIP levels, and billing trends.
- Analyzing data to identify areas for improvement in project management and invoicing processes.
- Collaborating with project managers to manage client expectations regarding billing timelines.
- Provide ad‑hoc support for project related tasks, forecasting, budgeting, government surveys as needed
- Assist with revenue recognition process at month end.
- You are also required to carry out other duties reasonably required by the Company that you are skilled and capable of performing. Monitor and manage all projects that are operating with outstanding information and act to mitigate and resolve.
Requirements:
- Diploma in Accounting or Finance related field
- Similar experience in an operations administration role.
- Ability to quickly assimilate and understand information and recognise what action is required
- Ability to identify problems, understand the complete impact of them and see challenges through to a conclusion.
- Ability to demonstrate commercial acumen in everyday transactions.
- Confident communicator with the ability to establish effective relationships with internal and external stakeholders.
- Excellent organisational and prioritising skills, with an exceptional eye for detail.
- Resilient and adaptable in a dynamic environment.
- Prior experience of communication with clients/customers.
