You will be responsible for processing, tracking & monitoring the Helix billing for our International subscription members. You will ensure members are billed as expected, including some manual file processing and swift resolution of any exceptional transaction records.
You will also handle other payment-related processes including monitoring billing success rates, completing Financial Controls and other ad hoc tasks.
Recurring Billing (daily, Weekly & Monthly)- Monitor that billing (and refunds) completes as expected every day.
- Process manual files on the correct day/date.
- Download and monitor / action UK Bank BACS Reports daily.
- Escalate incidents impacting any stage of the billing process to your Manager immediately.
- Review Reply Reason Trend Reports daily to identify spikes in response codes or declines in success rates and flag concerns to your Manager.
- Respond to ad hoc queries from internal partners with detailed and accurate information within 48 hours.
- Review billing records that could not be processed as expected and work with internal technical teams to resolve.
- Escalate to your Manager for assistance from our Acquirers/Vendors when needed.
- Ensure all variances are resolved and documented accurately with clear explanations/reference to the audit trail for remedial action taken.
- Present findings to your Manager for sign-off on a monthly basis.
- Track and monitor Account Updater and Accuity (bank account validation) for Helix and flag any peaks, troughs or failures to your Manager daily.
- Run daily, weekly and monthly billing & rebate reports for our external Financial Accountants for Brazil.
- Process weekly Webloyalty white label rebate files (including returns).
- Arrange monthly update of PT-X Password.
- Maintain up-to-date playbooks for all processes.
- Educated to GCSE level in Mathematics & English.
- Minimum 1 year’s experience working in a payment processing environment (preferred).
- Knowledge of credit/debit card and bank processing within the EU and UK, including BACS and SEPA processes (preferred).
- A self-starter with the ability to deliver high-quality work and adapt to new challenges.
- Able to efficiently manage own workload where priorities can change at short notice.
- Proven delivery under pressure.
- Literate and numerate with strong written and oral communication skills.
- Excellent commercial awareness.
- Attention to detail and right-first-time accuracy.
- Good interpersonal skills and the ability to build relationships in a collaborative manner with partners.
Candidates with relevant experience or job titles such as Payment Specialist, Payments Analyst, Treasury Operations Associate, Payment Operations may also be considered for this role.
