About the Role

The US Healthcare Recruitment Operations Specialist supports the client’s mission by sourcing high-quality clinicians, aligning them with the most suitable opportunities, preparing submission-ready profiles that meet compliance and client standards, and submitting clinicians in multiple VMS portals. This role combines responsibilities from sourcing, job matching, profile preparation, and submitting clinicians in portals to create a seamless experience for clinicians and internal partners.

The ideal candidate is detail-oriented, adaptable, and committed to delivering accurate, timely, and high-quality work across multiple systems and workflows.

Responsibilities
  • Sourcing & Talent Identification

    Source qualified clinicians via job boards, VMS portals, internal systems, and targeted online platforms. Review clinician qualifications to ensure strict alignment with our client and their client's requirements. Build and maintain proactive pipelines of clinicians to mitigate future demand risks. Engage clinicians through effective phone, text, and email communication to maintain interest and momentum in the process.

  • Job Matching & Submission

    Match clinicians to open opportunities by rigorously evaluating experience, skillsets, availability, and stringent client criteria. Collaborate with the Recruitment Team to ensure all clinician submissions are accurate, complete, and delivered in a timely manner. Submit clinicians through multiple VMS platforms with maximum efficiency, prioritizing accuracy and compliance. Communicate consistent updates and submission statuses to clinicians and internal teams, maintaining process transparency.

  • Profile Preparation & Documentation

    Collect, review, and organize all required clinician documentation (resumes, certifications, licenses, skills checklists, etc.). Format clinician profiles using the client-approved templates to ensure quality, consistency, and a professional brand image. Verify that all profiles meet client, regulatory compliance, and internal quality standards prior to submission. Maintain accurate, organized, and auditable data within ATS and VMS platforms.

  • Submissions

    Learn and master multiple VMS platforms quickly and effectively, serving as a functional expert. Execute submissions with speed, flawless accuracy, and strict adherence to specific client requirements. Respond promptly to Sales team requests to maintain optimal workflow momentum and client responsiveness. Regularly audit job orders across multiple VMS systems to ensure data accuracy, consistency, and completeness.

  • Other Responsibilities

    Additional responsibilities may be assigned based on business needs.

Qualifications
  • Bachelor’s Degree in any field (e.g., Business, Management, Health Sciences).
  • At least 1-2 years of progressive, relevant experience in US Healthcare Staffing Operations.
  • Operational Excellence:
    Demonstrated ability to manage high-volume tasks and strictly deadline-based work under pressure.
  • Prioritization:
    Exceptional ability to prioritize work and pivot quickly in a high-volume, fast-paced environment.
  • Attention to Detail:
    Meticulous focus on accuracy and data integrity, essential for compliance and flawless profile submissions.
  • Communication:
    Strong customer service, written, and verbal communication skills necessary for professional interaction with internal teams and clinicians.
