The Role

This is a part‑time Admin Officer role within the Diagnostics Directorate, providing comprehensive administrative and reception support across the Radiology Department, booking office, and associated sub‑departments. The role involves acting as the first point of contact for patients and staff, managing clinical information systems, and ensuring smooth coordination of imaging appointments and workflows.

Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.

All other roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

A fixed‑term 6‑month position, with the potential to become a permanent part‑time post.
Based at Vale of Leven, with occasional travel across the Clyde Sector and wider NHS Greater Glasgow & Clyde as required.
22.5 hours per week, Monday to Friday
Shift pattern: 09:30 – 14:00

Key Responsibilities

Reception & admin — Provide front‑of‑house and administrative support, including opening and closing the department.
Patient interaction — Act as first contact, handle queries, and communicate changes or cancellations.
Data accuracy — Register and update patient information on RIS/CRIS and maintain accurate audit trails.
Appointment & diary management — Manage appointments, letters, waiting lists, and coordinate CRIS diaries with staff availability.
Logistics coordination — Arrange patient transport, interpreter services, and issue preparation instructions.
Reports & imaging handling — Issue diagnostic reports, retrieve/track PACS images, and request comparative films.
Service monitoring — Provide waiting list updates, conduct basic audits, and record research codes.
Housekeeping & prioritisation — Maintain organised admin areas and manage workload independently, prioritising urgent tasks.

Knowledge, training, qualifications and/or experience required to do the job:

Essential

Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
Strong organisational and communication skills
Ability to prioritise and work under pressure
Flexible, proactive, and able to work independently
Understanding of good teamwork principles

Desirable

Basic knowledge of medical terminology (with opportunity to develop to specialist level)
Understanding of Imaging Department procedures and regulations, gained through experience
