About This Opportunity

The Payroll & Benefits Lead will be responsible for leading and optimizing payroll and benefits operations, ensuring accuracy, compliance, and efficiency, while serving as a strategic partner to People & Culture and Finance leadership. This role drives continuous improvement, influences vendors and partners, and supports the organization’s financial and workforce planning objectives.

Position Specifics Payroll & Benefits Administration And Leadership
  • Lead full-cycle payroll administration through ADP Workforce Now, ensuring accuracy, timeliness, and compliance for around 240 employees across multiple provinces, including Quebec.
  • Serve as the subject matter expert on payroll, benefits, and related legislation (ESA, Pension Benefits Act, CRA regulations).
  • Partner with Finance to provide compensation forecast and budget, reconciliation of payroll and benefit accounts, regular variance analysis, and reporting to support workforce planning and organizational strategy.
  • Manage the relationship with external vendors, particularly ADP, to ensure compliance with service agreements, high‑quality service delivery, and timely resolution of issues. Serve as the primary liaison with auditors and consultants on payroll and benefit matters.
  • Identify, implement, and champion process improvements that enhance accuracy, efficiency, and compliance.
Operational Excellence
  • Oversee administration of employee benefits programs (Health, Dental, Pension), ensuring accurate enrollments, deductions, updates, and terminations.
  • Conduct regular audits of payroll and benefits data to ensure accuracy and compliance.
  • Partner with People & Culture Generalist to track and manage employee absences related to sick leave, LTD, Worker Compensation, Return‑to‑work programs and other statutory leaves.
  • Maintain accurate employee payroll data in the Human Capital management System (ADP), including new hires, terminations, salary changes, and taxable benefits.
  • Manage payroll‑related grant reporting and chargebacks, ensuring accurate allocation of costs, compliance with funding requirements, and timely reporting in partnership with Finance.
Reporting, Compliance, and Documentation
  • Generate standard and ad-hoc reports to support decision-making and compliance requirements.
  • Maintain and update payroll and benefits policies, procedures, and training materials.
  • Maintain complete, organized payroll and benefits records, ensuring compliance, easy access and audit readiness.
  • Ensure all payroll and benefits processes reflect principles of diversity, equity, and inclusion.
Collaboration & Stakeholder Engagement
  • Act as a trusted advisor to people leaders, employees, and partners regarding payroll and benefits matters.
  • Collaborate cross-functionally with People & Culture, Finance, and external partners to resolve issues proactively and strategically.
  • Identify risks or gaps and elevate where appropriate with actionable recommendations.
General
  • Adhere to all relevant organizational policies, procedures, and practices.
  • Support members and volunteers (related to scholarships) by responding to inquiries and providing guidance as required.

Requirements
  • Payroll Compliance Professional (PCP) designation required.
  • Post‑secondary education in accounting, business, payroll, human resources, or related field.
  • Minimum 5 years of full-cycle payroll experience, including multi-provincial knowledge (including Quebec).
  • Demonstrated experience managing payroll and benefits in a mid‑size, complex organization using ADP or similar HRIS systems.
  • Strong knowledge of payroll, benefits, and relevant legislation.
  • A strategic thinker with the ability to lead improvements, influence partners, and proactively solve complex problems.
