Onboarding Coordinator-- Ability to work aligned to Pacific Time business hours, specifically 8:00 AM to 5:00 PM.
Job Description
The Onboarding Coordinator (Back-End Support) provides critical administrative and compliance support to the onboarding team during a period of increased volume and team transition. This internal-facing role focuses on behind-the-scenes onboarding activities, ensuring that documentation, compliance processes, and workflows run smoothly so the front-end team can effectively support contractors and customers. This is a 6month contract position with an urgent need and includes approximately four weeks of structured training on internal tools and onboarding processes.
Responsibilities
+ Complete onboarding compliance and administrative activities, including I-9 processing and management of related documentation.
+ Perform routine tracker sweeps and maintain onboarding trackers and spreadsheets to ensure accurate and up-to-date information.
+ Send, track, and manage onboarding paperwork, following up with stakeholders as needed to ensure timely completion.
+ Support the onboarding team by taking direction, pivoting across tasks, and helping manage high-volume workloads.
+ Participate in and successfully complete approximately four weeks of training covering the I-9 process, tracker sweeps, paperwork flow, and internal tools.
+ Collaborate with internal stakeholders using professional communication to resolve issues and keep onboarding processes on track.
+ Work consistently within designated business hours aligned to Pacific Time to support Arizona-based operations.
Essential Skills
+ Proven administrative support experience, including data entry, documentation management, and working within multiple systems.
+ Strong general computer and technology skills, with the ability to learn and navigate new tools efficiently.
+ Ability to work aligned to Pacific Time business hours, specifically 8:00 AM to 5:00 PM.
+ Strong attention to detail and follow-through, especially when performing compliance-focused work.
+ Professional written and verbal communication skills, with the ability to work effectively with internal stakeholders.
+ Adaptability and the ability to take direction well while handling changing priorities in a high-volume environment.
+ Customer service mindset and comfort supporting internal teams and processes.
+
Experience with onboarding, data entry, customer service, Microsoft Office, and administrative support tasks.
Additional
Skills & Qualifications
+ Prior exposure to onboarding, human resources, staffing, or compliance processes, particularly I-9 workflows.
+ Experience using tools and systems such as Excel, Outlook, Microsoft Teams, Bullhorn, Service Hub, or similar CRM/ATS platforms.
+
Experience with compliance activities, new hire orientation, and new hire paperwork processes.
+ Entry-level candidates with a strong customer service mindset who are seeking a foot in the door to the onboarding or HR industry.
+ Ability to attend optional team events in Arizona, if desired.
+ Interest in working within a people-first culture that emphasizes relationship-building and ongoing development.
Job Type & Location
This is a Contract position based out of Tempe, AZ.
Pay and Benefits
The pay range for this position is $19.00 - $19.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
