Summary:

A candidate inquiry arrives, is reviewed, answered, recorded, and brought to a clear next step through organized coordination. As a Talent Acquisition Representative, you communicate with candidates, share accurate role and process information, and help recruiters keep interview activity moving from initial contact through confirmed next steps. You work on a talent acquisition team under a recruiting team lead and partner with recruiters, hiring contacts, and candidates to keep exchanges clear and timely.

This is a fully remote, work from home position based in Washington, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:
  • Monitor candidate inquiries arriving through email and an applicant-tracking system such as Lever, identify the request, and acknowledge messages using approved response guidance.
  • Review candidate profiles, resumes, inquiry details, and current stage information to confirm that responses and next steps match recruiter direction.
  • Communicate role details, process stages, interview expectations, and requested updates to candidates in a courteous, professional, and consistent manner.
  • Create and update candidate profiles in an applicant-tracking system such as Lever, recording contact attempts, conversation summaries, interview status, and follow-up actions.
  • Coordinate candidate and recruiter availability using a scheduling and calendar tool such as Microsoft Outlook, checking details before confirmations are sent.
  • Send interview confirmations, reminders, access details, and next-step messages, then monitor replies and address straightforward scheduling questions.
  • Follow up on unanswered candidate messages and incomplete scheduling details within established response expectations to keep activity moving.
  • Route complex candidate concerns, unclear role questions, or time-sensitive interview changes to the assigned recruiter or recruiting team lead.
  • Partner with recruiters to review open interview needs, candidate responses, and pending actions, using a spreadsheets and data entry tool such as Google Sheets when tracking is requested.
  • Maintain orderly status updates and complete notes so recruiters can understand prior contact and take the appropriate next action.
  • Meet quality expectations through accurate candidate information, prompt turnaround, complete notes, respectful communication, and reliable follow-up.
Qualifications:
  • High school diploma or equivalent.
  • No experience required; related experience supporting recruiting, staffing, scheduling, or candidate-facing coordination is preferred.
  • Familiarity with candidate inquiry handling, interview logistics, hiring workflows, and professional workplace communication is preferred.
  • Ability to learn an applicant-tracking system such as Lever and follow established steps for updating candidate activity.
  • Comfort using a scheduling and calendar tool such as Microsoft Outlook and a spreadsheets and data entry tool such as Google Sheets.
  • Clear written and verbal communication skills for explaining process steps, requesting missing details, and maintaining respectful candidate interactions.
  • Ability to review details carefully, organize several active requests, and maintain accurate notes across candidate interactions.
  • Reliable computer, high-speed internet, and quiet private workspace required, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.
  • Fully remote work from home within Washington, United States.
  • Structured onboarding and training on an applicant-tracking system such as Lever, a scheduling and calendar tool such as Microsoft Outlook, and a spreadsheets and data entry tool such as Google Sheets.
  • Regular check-ins with the recruiting team lead for guidance, feedback, and workflow support.
  • Opportunities to build skills in candidate communication, interview logistics, hiring workflow coordination, and professional correspondence.
