Summary:

An onboarding request arrives, gets checked, moves through orientation arrangements, and closes with clear status notes. The Onboarding Assistant provides administrative support within the HR team, working under an HR team lead to help new employees begin with accurate information and clear next steps. The assistant works with new hires, recruiters, hiring managers, and training contacts to keep assigned onboarding activities moving.

This fully remote position allows you to work from home in New York, United States, supporting an organized and welcoming employee experience. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:
  • Receive onboarding requests through a shared email queue, confirm the assigned hiring contact, and identify the requested start date and orientation needs.
  • Check request details for completeness, compare names and start information with approved hiring updates, and ask the recruiter to clarify missing information.
  • Create assigned onboarding tasks in a HR system such as Workday, recording owners, due dates, and current progress using established instructions.
  • Send approved welcome messages that explain orientation steps, training access, and where new hires can direct questions about their first working days.
  • Arrange orientation invitations with hiring managers and HR contacts, checking availability and sharing joining instructions when meeting arrangements are confirmed by participants.
  • Assign approved introductory courses through a learning management system such as Cornerstone, and verify that employees receive the appropriate course access instructions.
  • Answer routine questions using approved onboarding guidance, and route employee concerns or questions outside that guidance to the HR team lead promptly.
  • Follow up with new hires and task owners when orientation responses or training updates remain outstanding, noting each contact and any revised next steps.
  • Flag conflicting start information, inaccessible training, or delayed responses to the HR team lead, including relevant context and the assistance already attempted.
  • Close completed onboarding tasks with clear handoff notes; quality is judged by accuracy, turnaround, complete notes, and consistent follow-up on unresolved items.
Qualifications:
  • High school diploma or equivalent.
  • No experience required; related experience supporting HR administration, employee onboarding, or office coordination is preferred.
  • Basic understanding of onboarding steps, orientation arrangements, and the different responsibilities of recruiters, hiring managers, and HR contacts.
  • Comfort learning a HR system such as Workday and maintaining accurate task updates without changing information beyond assigned responsibilities.
  • Ability to navigate a learning management system such as Cornerstone and explain basic course access steps clearly.
  • Clear written and verbal communication, a welcoming approach to new hires, and sound judgment about when to seek guidance.
  • Ability to handle employee information discreetly, check details carefully, and maintain orderly task notes across several onboarding requests.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.
  • Fully remote work focused on desk-based onboarding support and coordination with HR colleagues.
  • Structured onboarding and training on a HR system such as Workday and a learning management system such as Cornerstone.
  • Regular check-ins with the HR team lead for questions, feedback, and guidance on assigned tasks.
  • Opportunities to build employee onboarding, orientation coordination, HR system navigation, and professional communication skills.
  • Health coverage, paid leave, a 401(k), maternity leave, and stipends.
