About the Opportunity

We are seeking a highly organized, detail-oriented HR Coordinator (HR Administrative Assistant) to support a busy Human Resources and Talent Acquisition team. This fully remote opportunity is ideal for someone who enjoys working behind the scenes to keep HR processes running smoothly, maintaining accurate employee records, and providing administrative support across multiple HR functions.

In this role, you'll assist with offer letters, employee documentation, job postings, HR system updates, and data auditing. You'll work closely with recruiters, HR professionals, and other internal teams to ensure employee information is accurate and processes are completed efficiently.

The ideal candidate is someone who thrives in a fast-paced environment, can easily switch between multiple tasks and systems, and takes pride in producing accurate, high-quality work.

Key Responsibilities
  • Prepare, review, and audit offer letters, promotional letters, and other employee-related documentation.
  • Assist with creating and updating job postings and supporting the recruitment requisition process.
  • Review new hire documentation and employee records for accuracy, completeness, and consistency.
  • Maintain and update employee information within Applicant Tracking Systems (ATS) and HR information systems.
  • Support employee data changes, including promotions, payroll-related documentation, W-2 requests, and tax withholding updates.
  • Organize, rename, upload, and maintain employee documents within electronic personnel files.
  • Update and maintain HR trackers, spreadsheets, and reports.
  • Process and coordinate AskHR tickets and employee service requests.
  • Identify and resolve data discrepancies by collaborating with HR, Talent Acquisition, HRIS, and other internal teams.
  • Navigate multiple HR systems throughout the day while maintaining strong attention to detail.
  • Provide flexible administrative support to various HR teams as business needs change.
  • Handle confidential employee information with professionalism and discretion.
Qualifications Required
  • Experience in HR administration, HR coordination, Talent Acquisition support, or a similar administrative role.
  • Strong attention to detail, particularly when reviewing documents, employee records, and compensation-related information.
  • Excellent organizational and time-management skills with the ability to manage multiple tasks and shifting priorities.
  • Proficiency with Google Workspace (Google Sheets, Docs, Gmail, and Drive) or comparable Microsoft Office applications.
  • Experience working with HR systems, employee databases, Applicant Tracking Systems, or similar business platforms.
  • Ability to learn new software applications quickly and work efficiently across multiple systems.
  • Strong written and verbal communication skills.
  • Ability to work independently and stay productive in a fully remote environment.
Preferred
  • Experience with SAP Success Factors, People Doc, and/or Kronos.
  • Previous experience preparing offer letters, processing new hire documentation, or maintaining electronic employee files.
  • Familiarity with HR data auditing, HRIS transactions, and employee lifecycle changes.
  • Experience handling HR service tickets or working within an HR shared services environment.
  • Experience supporting multiple HR teams or managing high volumes of administrative tasks.
What We're Looking For

This position involves frequently moving between different systems, reviewing sensitive employee information, and ensuring that documents and data are accurate. The ability to catch errors, stay organized, learn quickly, and manage multiple responsibilities will be essential.

You don't need to be an HR expert in every area, but you should be comfortable with administrative processes, technology, and supporting multiple teams.
