Job OpportunityThe role provides program‑level support in strategy, planning, policy development, training, consultation, and customer service for the statewide Records & Information Management Program. Responsibilities include developing legally compliant agency forms, managing records disposition in the Electronic Content Management (ECM) system, and educating staff on records management best practices.
Key Responsibilities- Collaborate with customers to define specifications and desired functionality of agency forms.
- Design and test forms to ensure compliance with customer specifications and ADA requirements.
- Maintain an up‑to‑date list of form owners and review form status with customers annually.
- Upload approved forms to internal and external sites.
- Educate form owners on retention policies related to the form and its collected data.
- Perform records management for active and inactive forms.
- Facilitate record disposition functions in the agency’s ECM system.
- Respond to inquiries related to records management responsibilities.
- Demonstrated ability to design, develop, and maintain forms or business documents that are clear, functional, and meet organizational and compliance requirements.
- Clear communication skills, both verbal and written, suitable for diverse audiences.
- Proficiency with business and content management software such as InDesign, iLinx, SharePoint Online, Microsoft Office, Adobe products, and Microsoft Teams.
- Adaptability and customer responsiveness, adjusting approaches in real time to meet customer needs.
- Emotional intelligence, including conflict management and fostering collaboration across teams.
- Organized, independent work management and proactive prioritization of tasks.
- Growth mindset and commitment to continuous learning.
- Service‑oriented attitude, taking action to meet the needs of others.
- Experience in content development and producing clear written guides, handouts, or webpages.
- Adaptation to evolving technologies, including Microsoft Windows and presentation tools.
- Knowledge of quality assurance and testing processes.
- Familiarity with WSDOT and Washington state agency structures.
- Knowledge of Washington state records and information management laws and WSDOT Records & Information Services Program best practices.
