The Records Management Specialist is in charge of creating, putting into action, and keeping up with records management and information governance practices. This job makes sure that organizational records are properly classified, kept, protected, retrieved, and disposed of in accordance with all relevant laws, rules, and internal policies. The Records Management Specialist works with teams from different departments to help the business run more smoothly, keep data safe, and follow the rules.
Main Duties:
Take care of the whole life cycle of physical and electronic records, from when they are made to when they are thrown away.
Follow the rules and laws of your organization and the law when it comes to keeping records.
Use approved records management systems to sort, index, store, and get records back.
Make sure that you follow all of the rules set by the federal government, the state, and your industry when it comes to managing records and information.
Help with audits, legal holds, and eDiscovery when needed
Keep an eye on how well people follow records management rules and suggest ways to make them better.
Teach and guide staff on how to properly manage records and follow best practices
Plan for the safe destruction of records according to approved retention schedules
Keep records, reports, and metrics about activities related to managing records.
Work with the IT, legal, compliance, and operations teams to make sure that data is safe and access is limited.
Necessary
Qualifications:
A bachelor's degree in business administration, library science, information management, or a related field (or the same amount of experience)
At least three to five years of experience in managing records, governing information, or controlling documents
Good understanding of the rules for keeping records and following the law
Experience with document management platforms (DMPs) or electronic records management systems (ERMS)
Great skills in organizing, analyzing, and paying attention to details
Good at talking and writing clearly
Able to work alone in a fully remote setting
Ability to use Microsoft Office and software for managing records
Preferred Qualifications
Professional certifications like Certified Records Manager (CRM) or Information Governance Professional (IGP)
Experience in fields that are regulated, like healthcare, government, law, and financial services
Knowledge of eDiscovery, legal holds, and audit procedures
Familiarity with federal or state rules for managing records
Pay for the year:
Depending on experience, qualifications, and location, the salary range is between $60,000 and $90,000 per year.
