About the roleThis dynamic position sits at the heart of our publishing operations, managing the critical flow of data and content from production to market across all formats. You’ll be responsible for ensuring our books reach readers across all formats and territories while maintaining seamless relationships with retailers and partners. The role combines daily distribution workflows with system and process optimisation, giving you comprehensive exposure to digital publishing operations and distribution networks.
Keyresponsibilities Systems and database management
- Develop and optimise databases, interfaces, and workflows in Airtable.
- Assist in new systems development and implementation.
- Maintain data integrity and implement bulk data updates across all operational systems.
- Manage daily distribution of ebook, audiobook, and print assets and metadata to retailers and partners.
- Oversee print distribution channels, coordinating with printing partners for quotes.
- Handle product lifecycle updates and title removals when required.
- Support technical integration when onboarding new distribution partners.
- Serve as primary contact for retailer and partner queries.
- Download and organise sales reports from multiple retail platforms.
- Troubleshoot distribution problems and coordinate solutions between internal teams and external vendors.
- Maintain author contracts database and set up new records.
- Process rights administration tasks and rights-related payments.
- Upload and prepare royalties data for processing while maintaining territorial rights records.
- Meticulous attention to detail and accuracy
—with experience in working with data accurately. - A logical, systems-thinking mindset
—you see connections between processes and instinctively seek to optimise workflows. - Coding experience (preferred but not essential) — ability to write and update code to automate and optimise tasks.
- Technical confidence
—comfortable learning new platforms, troubleshooting issues, and becoming operational systems expert. - Database and spreadsheet fluency
—Airtable experience strongly preferred. - Excellent communication skills
—you can communicate between technical and non-technical stakeholders, explaining complex issues clearly and diplomatically. - Self-starter with collaborative spirit
—work independently while managing multiple time-sensitive tasks with shifting priorities. - A problem-solving mindset
—with the ability to troubleshoot technical issues.

This position provides a foundation for operations and distribution in publishing while building valuable transferable skills in project management, communication, systems management, and problem-solving.
The details- Closing date: 10th November 2025.
- Salary: £25,500 - £29,000 pa.
- UK, home-based role.
- Right to work in the UK required.
- 28 days annual leave + bank holidays.
