What You’ll Be Doing (Position Summary):
The  Workflow Coordinator  is responsible for monitoring and managing inbound fax and email queues, ensuring timely and accurate distribution of client requests to the appropriate teams within the Business Contact Centre (BCC). This role is critical in supporting efficient workflow operations, maintaining service standards, and contributing to client satisfaction by ensuring requests are processed promptly and accurately.

How You’ll Succeed (Responsibilities):
Monitor inbound Rightfax queues and Outlook email boxes for incoming client communications.
Distribute incoming faxes and emails through case requests in Salesforce to flow to the appropriate BCC team within defined turnaround times.
Attach documentation to existing service requests and update systems to track status.
Escalate high-volume or urgent requests to the Supervisor, Workflow or relevant BCC department as needed.
Regularly review Rightfax alerts to ensure all items are addressed promptly.
Communicate with BCC teams to clarify and accurately route client requests.
Stay updated on special handling procedures and client-specific requirements.
Prevent duplication of client requests to avoid errors and dissatisfaction.
Identify and recommend routine process improvements to enhance efficiency.
Adhere to BCC Key Performance Indicator standards, processes, and policies.

Experience:

Who You Are (Skills / Qualifications):
Must Have

Skills:

Bachelor's degree in business, Finance, or a related field preferred; equivalent work experience may be considered.
1+ years of experience in operations processing or a related function within financial services.
Familiarity with workflow management systems (e.g., Rightfax, Client Connect) is an asset.
Proficiency in English (written and verbal).
Proficiency with Rightfax and Salesforce software or similar workflow management tools.
Strong keyboarding skills and attention to detail for accurate data input.
Ability to comprehend and interpret written client requests.
Effective written and verbal communication skills.
Analytical and problem-solving abilities to identify workflow improvements.
Ability to work collaboratively with cross-functional teams.
