Position: Microsoft PPM Solution Architect (Project Online)

Job Purpose

The Microsoft PPM Solution Architect is a hybrid functional and technical role responsible for the design, configuration, implementation, and ongoing support of the organisation's Project Online / Microsoft PPM (Project & Portfolio Management) environment. The role bridges the gap between business project management processes and the underlying Microsoft technology stack, ensuring the PPM solution supports governance, reporting, and delivery needs across the organisation.

The successful candidate will combine strong project management domain knowledge with hands‑on technical capability across the Microsoft Power Platform and related PPM tools, while also actively supporting day‑to‑day project delivery and stakeholder engagement.

Key Responsibilities Solution Architecture & Configurations
  • Design, configure, and maintain the Project Online / Microsoft PPM solution architecture, including enterprise project types, workflows, custom fields, views, and security models.
  • Build, test, and deploy workflows (e.g., via Power Automate, SharePoint Designer, or native Project Online workflow capability) to support project lifecycle governance and approval processes.
  • Translate business and functional requirements into scalable technical solutions within the Microsoft PPM ecosystem.
Migration
  • Lead and execute migration activities from other task and project management tools (e.g., Excel trackers, Smartsheet, Asana, Jira, Planner, legacy PPM tools) into Project Online / Microsoft Planner for Project.
  • Perform data mapping, cleansing, validation, and reconciliation to ensure accurate and complete migration.
  • Develop migration plans, rollback strategies, and post‑migration support procedures.
  • Design and build Power BI dashboards and reports for portfolio, programme, and project‑level reporting (status, resource utilisation, financials, risk/issue tracking, timelines).
  • Integrate Project Online data with Power BI, Power Automate, and other Power Platform tools to deliver actionable, real‑time insights to stakeholders and leadership.
  • Maintain and enhance existing reporting suites in line with evolving business needs.
Support & Trouble Shooting
  • Provide second/third‑line technical support for the PPM environment, diagnosing and resolving configuration, performance, and integration issues.
  • Troubleshoot workflow failures, data sync issues, permissions/security problems, and Power Platform connector errors.
  • Maintain system documentation, known‑error logs, and standard operating procedures.
Stakeholder Engagement

Perform standard day‑to‑day project management documentation
: project charters, plans, RAID logs, status reports and governance packs.

  • Plan and facilitate workshops with stakeholders to gather requirements, validate designs, and drive user adoption.
  • Act as a trusted advisor to PMO leadership, project managers, and business stakeholders on PPM best practice and tool capability.
  • Support change management and training activities to drive adoption of the PPM solution.
Required Skills & Experience Functional
  • Strong understanding of project, programme, and portfolio management principles and methodologies (Waterfall, Agile, Hybrid).
  • Experience defining PPM governance frameworks, enterprise project types, and reporting standards.
  • Proven experience running stakeholder workshops and gathering business requirements.
  • Solid grasp of standard PM documentation and reporting cadence.
Technical
  • Hands‑on experience configuring and administering Microsoft Project Online / Project Planner/ Project Server
