Policy Service Administrator

The Policy Service Administrator is responsible for providing exceptional service to advisors by managing all aspects of in-force life insurance policy administration. This includes coordinating and processing policy changes, ensuring compliance with carrier and regulatory requirements, and delivering timely, accurate communication throughout the servicing process.

Responsibilities:

  • Manage assigned policy service requests from initiation to completion, prioritizing urgent matters, resolving issues proactively, and understanding the impact on downstream processes, reporting, and commissions.

  • Proactively anticipate advisor needs and provide timely, accurate updates regarding policy changes and outstanding requirements.

  • Act as the key resource and contact for all insurance carriers with respect to in force policies.

  • Communicate carrier decisions, requirements, and updates clearly and effectively to advisors.

  • Ensure all policy changes are processed accurately, compliantly, and within established service standards, including submission to carriers and documentation within Wealth Serv in accordance with PPI procedures.

  • Respond promptly and professionally to inquiries from advisors, carriers, and internal stakeholders.

  • Maintain regular communication with advisors regarding the status of requests, outstanding requirements, and expected timelines.

  • Monitor and follow up on outstanding requirements to ensure timely completion of policy service transactions.

  • Collaborate with insurance carriers to resolve issues and expedite policy servicing requests when required.

  • Ensure compliance with privacy, regulatory, and company requirements when handling client information.

  • Additional responsibilities, duties and special projects as identified.

  • Engage in actions that encourage, reflect and align with PPI’s ESG (Environmental, Social and Governance) commitments to our Advisors, their clients and our employees.

Education,

Experience and Skills:

  • 2+ years of experience in the life insurance industry, preferably within policy service, policy administration, or advisor support functions.

  • Industry designations (e.g., ALMI, FLMI, ACS) considered an asset.

  • Knowledge of life insurance products, concepts, and industry terminology preferred.

  • Strong organizational and time management skills with the ability to effectively manage multiple priorities in a fast-paced environment.

  • Exceptional attention to detail with a demonstrated commitment to accuracy and quality.

  • Strong written and verbal communication skills

  • Strong relationship-building skills with the ability to collaborate effectively with advisors, carriers, and internal stakeholders.

  • Proficiency with Wealth Serv and Microsoft Office applications

  • Ability to build and maintain positive professional relationships while representing the organization with integrity, professionalism, and respect.

  • Adaptable and resilient, with the ability to navigate changing priorities, processes, and business needs.

  • Bilingualism in English and French considered an asset

This role is for an existing position. The expected salary range for this position starts at $50,000 and will be commensurate with the candidate’s experience and skill set.
