Legal Secretary
Houston Volunteer Lawyers (HVL) leverages the use of pro bono legal services to deliver client-centered free civil legal services to the greater Houston community. This includes veteran-specific legal issues such as discharge upgrades and benefits appeals, family law, estate planning, landlord/tenant disputes, home ownership, consumer issues, bankruptcy matters, public benefits, n, and criminal expunctions. HVL also provides a variety of support to self-represented litigants who are navigating the legal system without legal representation.
HVL seeks a full-time Program Coordinator for its Veterans Program. Primary responsibilities include providing support to the Veterans legal team, screening potential clients, coordinating weekly in-person clinics at the VA Hospital, and ensuring accurate record keeping and data integrity. The individual in this position requires a high degree of professionalism, self-motivation, and a commitment to supporting Veterans. HVL has adopted a hybrid model where staff may work from home part of the week.
KeyAreas of Responsibilities
- Provide overall administrative support for the Veterans Legal Initiative.
- Interview clients to determine financial eligibility and legal matter qualifications for HVL legal services.
- Communicate with prospective and current clients to schedule consultation appointments, gather client documents, and maintain accurate client records in HVL’s database system.
- Prepare written materials to communicate with clients, staff, volunteer attorneys, and external constituents to promote the Veterans Legal Initiative.
- Provide administrative support to staff and volunteer attorneys on cases, including providing support in preparing referral summaries and facilitating case placement.
- Provide support to HVL staff attorneys, including running reports in Legal Server and supporting attorneys with data entry and data integrity.
- Assist staff attorneys in reviewing cases on the waiting list and those assigned to volunteer attorneys. Request updated status reports from applicants and assigned volunteers.
- Monitor incoming cases from Combined Arms to ensure they are opened and in the HVL Legal Server system within 96 hours of receiving notice of referral.
- Provide client-centered services with an understanding of the barriers that particularly impact veterans and marginalized communities.
- Assist with logistics and coordinating legal advice clinics.
- Attend weekly HVL Legal Advice Clinics most Fridays and conduct in-person intakes.
- Assist as needed with the occasional outreach and community events.
- Maintain timely documentation of all case-related activities, assist as needed with grant reporting activities, and other tasks as assigned by HVL.
- Effective verbal and written communication skills.
- Proficiency in Microsoft Office.
- Experience working with Veterans preferred.
- A flexible approach with a desire to work as part of a team.
- College degree or equivalent work experience preferred.

AnnualSalary and Benefits
This position is a flexible full‑time position. Salary range is $36,000 – $40,000 for someone with less than three years of experience and qualifications.
Benefits include fully paid health, vision and dental insurance; disability and life insurance options; a 401k defined contribution retirement plan with employer match available; professional development training, monthly parking paid and reimbursed work‑related expenses including work‑related mileage. Staff are eligible for 80 hours of PTO per year. After one year with HVL, staff will also receive additional vacation hours and are eligible for 6 weeks paid parental leave.
HVL will remain on a hybrid schedule and seeks to benefit from the talent and expertise of those needing flexible work hours and accommodations. Staff may work up to 3 days from home with supervisor approval and depending on office need. The Veteran’s team conducts most in‑person meetings Tuesdays and a weekly in‑person legal advice clinic on Friday afternoons.
