Are you a highly organized professional with a passion for supply chain operations and business administration? We are looking for an experienced and driven Logistics and Administration Coordinator to join a rapidly growing, remote-first company in the premium food industry. Established in 2016, our client has scaled from monthly production runs to a dynamic weekly schedule. In this remote position, you will play a central role in the day-to-day coordination of order fulfillment, global logistics, and key business administration processes.

As the primary hub for logistics and order processing, you will manage domestic and international shipping pipelines, ensuring products reach retailers, distributors, and food service partners seamlessly.

Operating entirely within a remote environment, the Logistics and Administration Coordinator must possess exceptional autonomy and a strong background in business administration. Your daily duties will span order processing, inventory tracking, and carrier negotiations, requiring a sharp eye for detail and proactive problem-solving. This role requires close integration with customer service and accounting pipelines, offering a true 360-degree view of the business administration cycle.

You will be responsible for inventory allocations, tracking manufacturing lot numbers, and managing relationships with third-party logistics (3PL) partners across key facilities in Alberta and Ontario.

Beyond day-to-day logistics, this business administration role features an exciting, collaborative element. You will act as a key touchpoint for international freight forwarders handling European shipments and will collaborate directly with sales teams based in Calgary, Vancouver, and Toronto. This collaboration extends to occasionally participating in major food and industry trade shows, where you will help showcase high-quality products directly to buyers and brokers.

Skills required

• Proficient in inventory tracking, lot number management, and 3PL warehouse operations.

• Solid understanding of domestic transportation networks, freight forwarding, and LTL shipping procedures.

• Proficient in business administration software, particularly electronic data interchange (EDI) systems like SPS Commerce.

• Advanced capabilities with Microsoft Office, specifically high proficiency in Excel for analyzing freight lane costs and tracking inventory.

• Strong mathematical and administrative skills for managing deduction approvals, credit notes, and invoicing.

• Exceptional organization skills with the ability to manage multiple shipping lanes, warehouses, and client timelines simultaneously.

• Dynamic communication and relationship-building skills to collaborate with brokers, customers, and internal sales divisions.

• Process orders from wholesale clients and distributors, ensuring accurate confirmation and fulfillment dates.

• Allocate inventory to customers systematically, managing potential shortages and proactively notifying clients of any product shorts.

• Schedule Less-Than-Truckload (LTL) transportation for inbound and outbound shipments to and from 3PL warehouses.

• Ensure all freight movements are aligned within strict lead times to maintain an industry-leading on-time delivery rate.

• Utilize specialized customer EDI and vendor platforms (such as SPS Commerce) to secure shipping approvals, submit packing lists, and transmit invoices.
