Conference Manager
American Association of Zoo Veterinarians (AAZV) is seeking a permanent, salaried, full‑time Conference Manager to support programmatic success by managing annual conference operations, marketing, and planning.
Key Responsibilities- Develop and manage the overall conference plan, timeline, and budget.
- Coordinate annual site selection, venue logistics, and vendor relationships.
- Lead internal planning meetings and ensure cross‑departmental alignment.
- Create and manage detailed production schedules, run‑of‑show documents, and contingency plans.
- Oversee registration platform setup, pricing tiers, attendee communication workflows, and onsite check‑in processes.
- Build and maintain relationships with current and prospective exhibitors and sponsors.
- Develop exhibitor/sponsor prospectus, pricing packages, and benefit tiers.
- Continually evaluate and adapt program operations to meet the needs of members and participants.
- Oversee attendee journey from registration to post‑conference follow‑up.
- Provide timely and professional customer service regarding registration, logistics, travel, and program questions.
- Collect and implement attendee feedback to improve year‑over‑year experience.
- Support and oversee AAZV staff, committee members, and contractors.
- Develop marketing strategy to promote the conference to members, non‑members, industry partners, and sponsors.
- Oversee development of promotional materials, including email campaigns, social media content, website updates, and print assets.
- Coordinate brand and messaging consistency across all channels.
- Conduct debrief sessions with staff, vendors, exhibitors, and sponsors.
- Compile and analyze post‑conference metrics, feedback survey results, and ROI data.
- Recommend improvements and innovations for future events.
- Maintain documentation and update SOPs for continuity.
- Other duties as assigned.
Skills and Qualifications
- Bachelor’s degree preferred; experience in event planning, contract negotiation, membership organization operations, and related animal care field preferred.
- Ability, initiative, and motivation to work productively in a home office and communicate clearly and often with remote team members via email, text, phone, and video calls.
- Experience with Apple products, CRM software, HTML, event software, social applications, Google Business Applications, and Microsoft Office products.
- Ability to learn and use new technology quickly.
- Ability to work independently as well as thrive in a team‑oriented environment.
- Commitment to accuracy and detail, particularly regarding financial documents.
- Willingness to learn and work within an established system.
- Willingness to assist with policy and systems development.
- Excellent organizational and follow‑through skills.
- Ability to travel for four to six weeks each year, including international travel.

Starting Annual Salary RangeStarting Annual Salary Range: $70,000 – $75,000, plus benefits.

This position can be remote with a requirement to work in person at the conference and other travel locations as assigned. A successful applicant will have the ability, motivation, and initiative to work full‑time from any location.
