The Project Coordinator works directly with a creative team of writers, designers, and HTML Specialists while being supervised by a Marketing Manager to produce marketing collateral for university departments. The types of projects created include emails, digital ads, mailers, booklets, posters, brochures, and promotional items. This position sees projects through from inception to completion while acting as a liaison between departments and marketing to ensure accurate information is shared with the creative team and deadlines are met.
While the Marketing Department home office is in Lynchburg, Va., this position is a remote, work‑from‑home role. There are occasional onsite requirements in the Lynchburg area discussed after job offer.
Essential Functions And Responsibilities- Coordinate and complete projects; assist in brainstorming and implementing client marketing plans while setting deadlines, assigning responsibilities, and monitoring progress.
- Act as liaison with clients to produce public relations and advertising materials such as direct mail, online and print ads, emails, websites, booklets, brochures, and other marketing collateral.
- Plan, direct, and implement organizational communications activities. Work with clients and team to ensure key, strategic messages are communicated effectively to target audiences.
- Manage multiple tasks simultaneously while staying organized and meeting deadlines.
- Demonstrate forward thinking, creative problem solving, and strong attention to detail.
- Enforce workflow procedures to be followed by clients and team members.
- Perform frequent data entry: accepting projects, assigning tasks, updating details, creating bids, and more.
- Work with management to ensure assignments are completed, deadlines are maintained, and team members stay on task until projects are complete.
- Act as client liaison with internal service departments such as Analytics and Decision Support (ADS) and IT Development.
- Collaborate with Liberty’s internal Print Shop and Purchasing Department and outside vendors to create, submit, and award bids on promotional materials.
- Obtain necessary approvals on drafts of marketing projects. Coordinate all requested changes with team members to ensure edits are completed.
A bachelor’s degree in Marketing, Communications, Business, or a related field, proficiency in Microsoft Office suite, and the ability to multi‑task in a fast‑paced environment are required. Two years of related experience and a bachelor’s degree with a specialization in Project Management, Communications, Marketing, or a related field are preferred. Effective written and verbal communication skills. Ability to intuitively reason, analyze information and events, and apply judgment to solve routine and complex problems.
