We are looking for an Events Specialist to join our UK-based team, which is led by our Marketing Director. The successful candidate will work closely with the wider Marketing team, supporting the end-to-end planning and delivery of events across our six offices in the UK, US, and Europe. This is an exciting opportunity to gain hands‑on experience in a fast‑paced, international environment and contribute directly to our growth.
We have two offices in the UK – one in London and one in Frome, near Bath. Our London office is based in the heart of The City near Bank / St Pauls, and within easy commuting distance of most parts of London. We also have offices in the USA (Chicago & New York), France (Paris), and Germany (Munich).
Although we work in structured project teams, we are socially very equal, lively and inclusive. There are no corner offices, no cliques – we work in open‑plan offices and are not political. We think ‘a culture’ is something other firms have to invent. Ours is the product of the people we employ.
The Events Specialist roleWe are looking for someone highly organised, proactive and detail-oriented, with a genuine enthusiasm for creating well‑run, engaging events. This role would suit someone who enjoys bringing structure to busy projects, is comfortable managing multiple moving parts at once, and brings a positive, can‑do attitude when coordinating stakeholders, suppliers and logistics.
The Events Specialist will:
- Plan and deliver external and internal events end‑to‑end: timelines, budgets, suppliers, guest lists, registration, logistics, run‑of‑show and on‑the‑day management.
- Build event project plans and keep stakeholders on track, flagging risks early and keeping decisions moving.
- Manage venues, catering, AV, photography and contingency planning.
- Support virtual and hybrid events where needed (platform set‑up, speaker prep, tech rehearsals).
- Create and coordinate event collateral: invitations, RSVP flows, joining instructions, signage, handouts, name badges, simple decks and on‑screen assets, ensuring all materials are consistent with CIL’s tone of voice and brand.
- Work closely with Partners and senior stakeholders to shape event formats, agendas and guest experience.
- Brief speakers, coordinate prep sessions, and ensure everyone is clear on timing, roles and messaging.
- Coordinate attendee comms and follow‑up, including post‑event emails and feedback where appropriate.
- Track event performance: attendance, audience mix, engagement, costs, and agreed outcomes (e.g. meetings secured, list growth).
- Manage branded merchandise for events and recruitment activity: stock, ordering, storage and distribution.
- Manage budgets per event, track spend, and support annual budgeting/forecasting for the events programme.
- Own supplier relationships and negotiate where appropriate (venues, printers, production partners, swag suppliers).
Our strong international and sector growth means there are increasing opportunities to support marketing efforts in those countries or in particular sectors of interest to the candidate. We carry out formal performance reviews annually with your Career Manager, who will be the Marketing Manager, where goals for the next twelve months are set out.
Office vs. home workingIt is expected that this role can involve a mixture of home and office working (three days per week in the office), although we think the successful candidate would probably benefit from more office time initially to help them get up the curve. We are open to the candidate being based in either our London or Frome office.
