Outreach and Volunteer Coordinator

Reports To: Shelter Director

Department: Kennel Operations

FLSA Classification: Non Exempt Hourly

Scheduled

Hours:

Full-time, 40 hours per week; 8:30 a.m. to 5 p.m. (may occasionally require flexibility)

Scheduled Days: Onsite, Saturdays and Sundays (required);
Offsite, 3 days TBD

Computer System: Microsoft Office Suite, Google Suite, Shelter Buddy (training provided)

Pay Rate: $17.00/hour

Position Summary

The Humane Society of the North Bay is an independent non‑profit animal shelter that cares for Vallejo’s lost and abandoned cats and dogs.

We are looking for a candidate to support our work who has compassion for both animals and humans, a strong work ethic, and meticulous attention to detail and data management.

Essential Duties
  • Assisting the Lead Adoption, Foster, and Rescue Coordinator with screening adoption applications, scheduling meet‑and‑greet events, conducting post‑adoption follow‑up, and maintaining records.
  • Keeping in regular contact with fosters for adoption meetings, vaccination updates, and providing photos for social media.
  • Attending off‑site adoption events and assisting with rescue outreach.
  • Continuously updating data records and performing other requests for assistance as needed.
  • Handling remote work during business hours on three days (actual days TBD) and occasionally being contacted after hours for emergency placements.
  • Screening volunteer applications, scheduling and conducting orientations and training, and accurately maintaining and frequently updating volunteer data.
  • Compiling monthly volunteer activity reports.
  • Performing animal handling and training (provided).
General Requirements & Qualifications

  • Commitment to meticulous and timely processes and data management.
  • Excellent customer service and communication skills (written and verbal).
  • Ability to work professionally with the public, staff and volunteers.
  • Calm and productive in high‑stress situations.
  • Flexible and able to adjust tasks as priorities change.
  • Basic Microsoft Office skills and data entry.
  • Valid CA Driver’s License with a good driving record.
  • Experience and comfort level with dogs and cats; willingness to handle unfamiliar animals (training provided).
Preferred but not required
  • Prior animal shelter experience.
  • Experience safely handling dogs and cats, including anxious, ill or injured animals.
  • At least one year experience with Microsoft Word.
Physical Demands
  • Sitting for long periods of computer work.
  • Repetitive hand movements and fine coordination for data entry.
  • Compliance with animal shelter procedures and policies.
  • Good vision and hearing to interact with staff, visitors, volunteers, and animals.
  • Standing, walking, stooping, bending, reaching overhead and laterally, grasping equipment such as leashes.
  • Ability to lift up to 40 lbs without assistance.
  • Occasional lifting of heavier loads or animals with assistance.
Onsite Working Conditions
  • Exposure to frightened, agitated or injured animals.
  • Potential contact with cleaning agents, veterinary drugs, animal feces, urine, vomit and blood.
  • Exposure to loud noises, various odors, and witnessing abuse or neglect.
  • Experience with euthanasia cases (where euthanasia is performed for terminal disease, quality of life, or dangerous behavior).
