POSITION OBJECTIVEThe Intake Coordinator will implement a person-centered, strengths-based approach to service delivery while assisting VEAP participants in accessing food pantry and social services programs. Additionally, the individual will offer support and guidance to volunteers assisting in intake functions y will also play a role in creating and maintaining consistency and equity by enforcing VEAP policy and procedures.
RESPONSIBILITIES- Provide access to VEAP’s food pantry and social services programs by coordinating the daily operations of the Phone Intake, Lobby Intake, and Data Entry areas.
- Phone Intake area answers all calls to schedule appointments for the onsite food pantry and home delivery food pantry.
- Lobby Intake area greets all participants in the front lobby area and checks them in for their appointments.
- Data Entry area assists with completing both live and offline data entry into the client database.
- Provide onboarding training to volunteers, including training them on the client database, training on interacting with program participants and answering and program-specific questions, and position-specific training for Phone Intake, Lobby Intake, and Data Entry areas.
- Manage 20-25 daily volunteers across two shifts who are volunteering in the Phone Intake, Lobby Intake and Data Entry areas, including ensuring adequate coverage in each area, answering questions from volunteers, and providing feedback on performance.
- Answer questions and provide support to program participants, in person and over the phone, for all VEAP programs including food pantry and social services programs.
- Ensure both live and offline data entry is complete for the food pantry areas.
- Coordinate daily with other program staff.
- Actively participate in VEAP’s continuous improvement initiatives by identifying and proposing opportunities to create efficiencies and expand services using a holistic approach.
- Perform other duties as assigned.
- Associate degree in Human Services with a minimum of two years of related work experience, or a minimum of four years of demonstrated work experience.
- Proficiency in Microsoft Office (Word, Excel, Teams, and Outlook) and client databases.
- Experience working with under-served or vulnerable populations, including persons from diverse racial, ethnic, and economic backgrounds, as well with mental health and/or behavioral challenges.
- Demonstrated ability to professionally represent VEAP by maintaining composure and speaking with tact and diplomacy.
- Motivated self-starter with excellent problem-solving, time management, and organizational skills.
- Detail-oriented, with demonstrated ability to work well under pressure and manage multiple projects and deadlines.
- Exceptional written, verbal and interpersonal communication skills; excellent listening skills.
- Ability to work with sensitive and/or confidential matters.
- Able and willing to evenings and weekends from time to time.
- Fluent in Spanish
