Hours: Up to 20 hours per week

Employment Type: Part-Time, Fixed-Term Contract

Contract Period: June 2026 – June 2027, with possibility of renewal

About the Ottawa Youth Service Year Program

The Ottawa Youth Service Year (OYSY) is a paid, structured 8‑month service year for recent high school graduates aged 17–19, launching in September 2026. OYSY connects young Ottawans with full‑time placements at local nonprofits, equipping them with hands‑on professional experience, new skills, and a guaranteed post‑secondary education award upon successful completion.

Founded by the Honourable Dalton McGuinty and funded by The Rideau Hall Foundation, OYSY is designed to expand access to meaningful opportunities for youth across Ottawa — particularly those from underserved communities. Volunteer Ottawa serves as the backbone organization for this pilot, with 26 youth selected for the inaugural cohort.

About the Role

Volunteer Ottawa is looking for an organized and detail‑oriented Youth Program Administrator to provide administrative and coordination support for the OYSY pilot. This is a hybrid role, supporting the day‑to‑day operational and administrative needs of the program from behind the scenes.

Working closely with the Youth Program Specialist, you will help keep program records accurate, communications flowing, and logistics running smoothly. This part‑time role is a great fit for someone who is passionate about youth and community, thrives in an organized, independent work environment, and is looking for meaningful, flexible work.

Key Responsibilities Program Administration
  • Maintain accurate program records, databases, and filing systems
  • Support data collection and input for program reporting and funder requirements
  • Track program‑related expenses and support budget reconciliation
  • Assist with the preparation of communications, promotional materials, and program resources
  • Provide general administrative support to the OYSY team as needed
Event & Logistics Support
  • Assist with planning and coordination of program events, including booking speakers and arranging light hospitality
  • Help coordinate scheduling, logistics, and follow‑up communications for program activities
Host Organization Support
  • Support the onboarding of host nonprofit organizations and maintain up‑to‑date placement records
  • Assist with regular communications to host supervisors
  • Help coordinate site visit scheduling and placement check‑ins as directed by the Youth Program Specialist
Qualifications Required
  • 1+ years of experience in administration, coordination, or community work
  • Strong attention to detail and organizational skills
  • Comfort with digital tools for data tracking, scheduling, and communications (Microsoft Office suite required)
  • A genuine interest in working with youth and community organizations
  • A team player with a positive, flexible, and self‑directed attitude
Preferred
  • Bilingualism in English and French is a strong asset
  • Experience in the nonprofit, education, or youth‑serving sector
  • Familiarity with volunteer management or CRM software
  • Lived experience or understanding of barriers facing youth from underserved communities
