Senior Customs Clearance Specialist (Vehicles)

Customs Operations Manager for Canada

Summary:

The Senior Customs Clearance Specialist (Vehicles) manages customs documentation and ensures compliance with import and export laws, with a strong focus on vehicle shipments. Responsibilities include reviewing and processing customs documents, determining duties and taxes, processing payments on behalf of clients, and communicating with clients, the Canada Border Services Agency (CBSA), partners, carriers, and freight forwarders to maintain smooth operations in shipping and logistics.

  • Independently reviews and prepares customs documentation for processing and entry releases.
  • Handles general inquiries (internal and external) by phone, email, or Slack.
  • Completes files in a timely and accurate manner in compliance with Border Buddy and Customs policies.
  • Writes detailed notes and instructions regarding clients, freight forwarders, CBSA, carriers, and other relevant parties.
  • Maintains the client database and updates information as necessary.
  • Is familiar with various vehicle types, makes, and models.
  • Understands rules and regulations related to RIV, ECCC, and Transport Canada.
  • Is knowledgeable about Internal Transaction Numbers (ITNs) issued by the Automated Export System (AES) through U.S. CBP.
  • Proactively seeks knowledge and solutions; prioritizes and meets deadlines consistently.
  • Independently manages and resolves challenging situations.
  • Processes B3/CAD entries to meet Company, CBSA, and CBP compliance standards.
  • Cures rejected Canada Customs entries when necessary.
  • Is knowledgeable about and can correctly assign HS tariff classifications.
  • Supports the sales team and cross-sells Border Buddy's services.
  • Maintains professional status by completing exams or attending conferences.
Qualifications Experience
  • Minimum of three (3) years in a customs brokerage role with hands-on experience processing automobiles/vehicles.
  • At least three (3) years of recent experience (within the last 3–4 years) handling vehicle/automobile customs clearance, including import documentation, compliance requirements, and release processes.
  • Diploma or degree in a related field; post-secondary or business courses in a related industry considered an asset.
  • Experience with Cargo Wise and CANdata is considered an asset.
  • CCS designation or other industry-related certification required; LCB designation considered an asset.
Skills
  • Excellent verbal and written communication; ability to interact effectively with clients, customs authorities, carriers, freight forwarders, and other stakeholders.
  • Strong attention to detail and task-oriented; takes ownership of work to ensure quality results.
  • Resourceful with a proactive approach to problem solving.
  • Ability to work well under pressure in a fast-paced environment.
  • Self-motivated, hardworking, and adaptable with a positive attitude.
  • Flexibility and reliability; ability to learn quickly.
  • Strong interpersonal and customer service skills.
  • Proficiency in English; knowledge of French, Spanish, Cantonese, or Mandarin is an asset.
  • Proficiency with computers and software; detail-oriented and eager to learn.
  • Team player with collaborative mindset.

Working Conditions
  • Schedule:

    Monday through Friday, 8:00 AM – 4:30 PM PST
  • Standard schedule is 37.5 hours per week; due to around-the-clock operations, additional hours including weekends and overtime may be required.
  • 100% remote role; must reside and work from within the United States. IT equipment provided.
