Position Title: Sr. HR and Payroll Supervisor

Position Summary

The Senior HR and Payroll Supervisor is responsible for overseeing the accurate execution of payroll processes, maintenance of employment and HR records, processing of weekly and bi-weekly in-house payroll, maintaining HR records, and compliance with employment regulations. This role serves as a trusted resource to associates and leadership, this position also contributes to continuous process improvements and policy implementation.

Roles & Responsibilities
  • Supervise payroll team members, providing training, guidance, and performance feedback to ensure accurate and timely execution of responsibilities.
  • Oversee the companys leave tracking program and coordinate case management with associates, HR Managers, and Operations teams.
  • Supervise preparation and processing of weekly and bi-weekly payroll, ensuring deadlines, controls, and quality standards are met.
  • Oversee garnishment processing, reconciliations, spreadsheet management, data input, and timekeeping audits.
  • Review and approve timecard audits, pre-payroll transmission audits, and payroll balancing.
  • Ensure accurate processing of new hires, employee changes, and terminations.
  • Monitor wage and PTO processing for compliance with company policies and federal, state, and local regulations.
  • Review and transmit federal, state, and local tax funding files.
  • Ensure garnishments are entered, maintained, and processed in compliance with legal requirements.
  • Troubleshoot and resolve complex HR and payroll issues escalated by team members.
  • Oversee processing of employee reimbursements (incentives, union, health waivers).
  • Support account reconciliations and other payroll controls such as balancing payroll results to payroll tax returns and to year-end W-2 form statements
  • Coordinate with accounting, banks, and external agencies regarding payroll policies, pay computations, direct deposits, and audits.
  • Manage special pay cycles, including bonuses and on-demand checks.
  • Stay informed on legal and policy changes, including labor laws, union contracts, and internal SOPs and communicate updates to the HR/payroll teams.
  • Ensure timely and accurate document uploads to HR and payroll systems.
  • Support HR and payroll management with special projects and process improvement initiatives.
  • Perform other related duties as needed to support department operations.
Job Requirements Education
  • Bachelors degree in Human Resources, Finance, Business, or related field required. Equivalent experience (3+ years) in lieu of formal education may be considered.
  • FPC or CPP certification preferred.
  • Spanish language proficiency is a plus.
Experience
  • Minimum 5 years of progressive HR and payroll experience, union environment preferred.
  • At least 2 years of supervisory or team leadership experience required.
Preferred
  • HR Certifications (PHR, SPHR, SHRM-CP/SCP)
  • Advanced Excel skills
  • Experience with UKG software
Knowledge
  • Familiarity with employment laws including Family Medical Leave Act, the Fair Labor Standards Act, the Americans with Disabilities Act, various leave laws, and anti-discrimination laws.
  • Intermediate to advanced proficiency in MS Excel, Word, and PowerPoint.
  • Expertise of HRIS and payroll systems, reporting, and data processing.

  • Excellent verbal and written communication skills across all organizational levels.
  • High attention to detail and sound judgment when handling confidential information.
  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.

  • Skill in explaining complex information clearly to employees and management team.
  • Strong listening, speaking, and writing skills, particularly in sensitive or high-pressure situations.
  • Proficiency in preparing and delivering professional presentations.
  • Willing and able to work extended hours or weekends as needed.
  • Able to travel occasionally to other facilities or attend conferences.
  • Maintain a professional and approachable demeanor at all times.
