This is a full-time, on-site Personal Assistant position based in Opfikon, Zürich. The Person al Assistant will provide comprehensive administrative and organizational support to senior leadership, including managing calendars, coordinating meetings, arranging travel, and preparing documents and presentations. Responsibilities include handling correspondence, phone calls, and inquiries in a professional manner, maintaining files and records, and assisting with expense reports and basic office administration.
The role also involves coordinating logistics for internal and external appointments, supporting the planning of events and business trips, and ensuring smooth day-to-day operations. The Person al Assistant will work closely with internal teams and external partners, maintaining a high level of confidentiality, accuracy, and service orientation at all times.
- Strong Personal Assistance skills, including proactive support, prioritization, and follow-up on tasks and commitments.
- Experience in Executive Administrative Assistance, such as supporting senior leaders, preparing meeting materials, and handling confidential information.
- Excellent Communication skills, both written and verbal, with a professional demeanor when interacting with stakeholders at all levels.
- Proficient Diary Management capabilities, including complex calendar coordination, scheduling across time zones, and meeting preparation.
- Solid Clerical Skills, including document preparation, filing, data entry, and basic office administration.
- Very good MS Office or similar productivity tools skills; comfort with digital collaboration tools.
- Fluency in English;
German and/or other European languages are a strong advantage. - High attention to detail, strong organizational skills, and the ability to manage multiple tasks under time pressure.
- Customer-oriented mindset, discretion, and a high level of reliability and professionalism.
- Relevant vocational training or degree in business administration or a related field, and prior experience in an assistant role; experience in aviation or luxury services is an advantage.
