Position: Egg Donation Case Manager View role

Coordinate egg donation cases from donor selection through screening, legal preparation, cycle scheduling, retrieval, and follow-up. Serve as a reliable contact for donors and intended parents, keeping documents, appointments, travel, and provider requirements organized while respecting donor autonomy. You will connect the human side of donation with the detailed coordination required for fertility treatment. Working with IVF clinic teams, law firms, genetic counselors, and other professionals, you will confirm that every requirement has a clear owner and is completed at the appropriate stage.

This role suits someone who combines warmth and sound judgment with precise documentation, proactive follow-up, and the ability to manage changing priorities.

Key responsibilities
  • Review donor availability, intended parent priorities, clinic requirements, and the case handoff; establish a clear task plan.
  • Collect authorized donor history, prior-cycle information, and records; resolve incomplete documentation and coordinate secure delivery to the clinic.
  • Coordinate medical screening, genetic counseling, psychological evaluations, and clinic requirements; track appointments, documentation, provider decisions, and clearances.
  • Work with law firms, genetic counselors, mental health providers, and other external partners; verify all required documents, legal clearances, and financial prerequisites are complete.
  • Partner with IVF clinic physicians, nurses, and coordinators on fertility treatment case management, including cycle preparation, monitoring, retrieval, and follow-up; maintain calendars and track changes.
  • Arrange approved travel, lodging, transportation, and companion logistics around screening, monitoring, retrieval, and recovery.
  • Confirm donors receive clinic instructions; route symptoms, medication questions, treatment concerns, and missed appointments promptly to the clinical team.
  • Provide verified, authorized progress updates without promising egg yield, embryo development, genetic results, or pregnancy outcomes.
  • Manage administrative responses to cancellations, rescheduling, and repeat-cycle requests; coordinate compensation and reimbursement documentation.
  • Maintain detailed case checklists and deadlines; resolve missing items, confirm required follow-up, update donor availability, and verify completion before milestones and case closure.
What success looks like
  • Donors and intended parents receive timely, clear updates throughout screening and treatment.
  • Clinic, legal, counseling, and scheduling requirements are complete and current before the cycle advances.
  • Changes are communicated promptly, and each case closes with accurate records and completed follow-up.
Qualifications and preferred experience
  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Working knowledge of surrogacy, egg donation, and IVF; excellent communication, customer service, organization, and proactive follow-up.
  • Tech savvy and comfortable learning new platforms, including Egg Donor Connect, CRM systems, Google Workspace (G Suite), Slack, and related case management tools.
  • Exceptional attention to detail, accurate records, confidentiality, sound judgment, and inclusive service.
  • Egg donation, IVF patient services, or related healthcare coordination experience preferred; two or more years is a plus. Former egg donors and experienced surrogates with relevant professional skills are welcome.
  • Bilingual English and Spanish or English and Chinese, particularly Mandarin, preferred. Please identify spoken and written proficiency.
