As the Office Manager, you’ll be the organizational hub of the shop — supporting the service team, handling administrative operations, and keeping the business running efficiently. You’ll interact with customers, vendors, technicians, and leadership to ensure everything stays on track.
Primary Responsibilities:- Manage front‑office operations and customer communication
- Handle invoicing, billing, AP/AR, and financial organization
- Utilize Quick Books Desktop & Online for accounting tasks
- Create work orders, track service jobs, and support scheduling
- Maintain accurate records, documentation, and data entry
- Order supplies, manage inventory, and coordinate vendors
- Answer phones, greet visitors, and support daily workflow needs
- Assist leadership with administrative tasks and project coordination
- Ensure smooth communication between customers, technicians, and management
Required Qualifications:
- Experience in office management, administrative support, or bookkeeping
- Strong working knowledge of Quick Books Desktop & Online
- Understanding of invoicing, billing, and basic accounting functions
- Excellent communication & customer service skills
- Strong organization, problem‑solving, and multitasking abilities
- Ability to work onsite Monday–Friday in Clackamas, OR
- Experience in automotive, diesel, trucking, field service, or repair industries
- Background with work orders, service scheduling, or vendor management
