Position: Inside Support Specialist

Overview

Structured has an immediate opening for a detail-oriented and dynamic individual to join our team as an Inside Support Specialist located in Clackamas, Oregon.

As part of our team, you will play a key role in driving the success of our outside sales team by supporting the end-to-end sales process. You’ll work closely with account executives and internal technical teams to help identify and quantify customer requirements, develop accurate and timely quotes, and ensure a smooth handoff to delivery teams.

You will also be responsible for maintaining up-to-date and accurate information within Structured’s CRM system, including opportunity tracking, forecasting, and sales status updates. Your ability to coordinate across departments and deliver responsive, detail-oriented support will be essential to ensuring a seamless customer experience and achieving team sales goals.

(Must be able to work on-site in Clackamas, Oregon five days a week.)

Compensation

Compensation: $21.65 - $31.25 per hour

Essential Duties and Responsibilities
  • Gather customer requirements and work with internal teams to create and deliver quotations.
  • Plan, manage, coordinate and follow up on events, customer calls and e-mails, and appointments on behalf of Account Executives as directed.
  • Manage Account Executive(s) calendars to prioritize customers and opportunities as directed.
  • Manage the complete Purchase Order (PO) life cycle as directed.
  • Work with engineers to generate Bills of Material (BOM) as needed.
  • Provide complete, accurate and timely updating, forecasting and sales process status reports.
  • Ensure accurate receipt of customer orders and seamless handoff to operations.
  • Monitor order progress to ensure customer expectations for delivery are communicated and met.
  • Investigate and resolve customer issues regarding product and service delivery; communicate status to team lead(s) and Account Executive(s) on a timely basis.
  • Oversee customer cases and act as a single point of contact for the Service Desk as directed.
  • Provide support for meetings to track progress on project milestones and resolve issues.
  • Act as a point of contact between internal clients and outside clients.
  • Manage aspects of project work and the overall execution of projects as directed.
  • Ensure project and development efforts are documented.
  • Maintain and organize customer database and project files in a timely manner.
  • Assist in the investigation and reporting of logged time and service platform updates for projects and cases when requested.
  • Participate in account planning as needed.
  • Follow policies and procedures for tracking activities in Structured’s CRM/service delivery tools.
  • Promote and maintain a high standard of customer service at all times.
  • Maintain and develop accurate product and application knowledge.
  • Maintain organizational effectiveness in a fast-paced environment and confidentiality.
Education and Experience

High school diploma or equivalent, or five years related experience and/or training; or equivalent combination of education and experience within customer service.

General Office Computer Skills

Experience with Microsoft Office Suite; experience with a CRM tool such as Salesforce.

Language Skills

Ability to read, analyze, and interpret quotes and reports; effectively present information and respond to questions from employees, management, vendors and customers.

Physical Demands

Work is generally sedentary; lifting up to 50 pounds; occasional travel to customer locations or events may be required.
