Overview
Representative, Patient Access I 12 HR-Kaiser Sunnyside Medical Center role at Kaiser Permanente Northwest — Kaiser Permanente Health System environment. The Patient Access Representative I welcomes patients into the care delivery setting and initiates administrative processes that support clinical care and financial documentation. This role ensures complete and accurate patient admission/registration and may perform limited insurance eligibility and benefits verification, point-of-service cash collection, and documentation necessary for expedient registration/admission in accordance with organizational policy and regulatory requirements.
Responsibilities- Registration: greet and register patients for various medical services; pre-register when applicable; collect demographic information, insurance data, and third-party liability information; verify eligibility and benefits; identify financial assistance needs and refer to Financial Counselors as needed; verify information per CMS regulations and regional policies; identify and minimize duplicate medical records; document all registration activity for all patient classes and clinical services.
- Revenue Collection: determine and collect cost-shares and partial payments; process payments and deposits; communicate payment policies; refer to financial counselors as appropriate; interact with Patient Business Services/Membership Services to respond to account questions; document all activity.
- Appointing: schedule or cancel appropriate appointments based on member needs and regional protocol; arrange return appointments when applicable.
- Regulatory/Organizational Compliance: complete required forms for payors (Medicare, L&I, some commercial payers); obtain signatures; ensure HIPAA privacy and security; understand EMTALA relevance to registration; maintain knowledge of CMS guidelines; manage aggressive behavior as needed.
- General Services: stock forms and supplies; assist patients with directions and department referrals; escort patients to service areas; protect patient valuables per policy; maintain records during downtime and support data gathering; perform other duties as assigned.
- Basic Qualifications
:
Minimum one (1) year in healthcare financial roles and at least one (1) year in an office environment with customer service, or minimum two (2) years of post-high school education, or a combination of education and experience. Per National Agreement, current KP Coalition employees may have this experience requirement waived.
- High School Diploma or GED required.
- Basic Life Support
- Medical Terminology Certification
- Obtain training and Medical Terminology certificate within 180 days if existing Patient Access employee; outside applicants must have upon hire.
- Obtain CPR certification within 30 days if existing Employee or have current CPR certification; outside applicants must have upon hire.
- Excellent communication skills with all types of individuals; strong organization, flexibility, and the ability to switch tasks frequently.
- Typing speed minimum 35 wpm with high accuracy; prior cash handling experience.
- Proficiency with CRT, Windows, MS Word/Excel, copier, fax, phone, and headset; ability to handle high-volume workloads and maintain confidentiality.
- Knowledge of medical terminology, DRGs, common procedures, and payor requirements; familiarity with HIPAA, EMTALA, and related regulations; experience with automated registration systems.
- Training to become a Certified Healthcare Access Associate by NAHAM within 180 days of employment preferred.
- Experience with EPIC applications; prior hospital or ambulatory clinic registration experience; HFMA or NAHAM certification preferred.
