Hire Professionals is looking for an Executive Assistant to perform a variety of administrative tasks and support company efforts.

As an Executive Assistant’s responsibilities include but are not limited to managing calendars, working on pitch decks and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Responsibilities
  • Proficient and Microsoft Office suites and Recordkeeping
  • Strong Background in Accounting
  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Must have strong writing and review skills
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Conserves General Manager’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Maintains General Manager’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
Skills
  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge in Word, Excel, and Power point
  • Ability to create an email courteously
  • Familiar with Asana
  • Outstanding organizational and time management skills, creative and willing to take work independently
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Detail oriented
  • Exceptional customer service skills
  • Discretion and confidentiality

Position is in office initially and must have reliable transportation.
