The HOA Processing Coordinator is responsible for the submittal of required HOA docs to the customer and/or directly to their HOA. This position requires strong time management skills, accurate data entry skills, and the ability to nurture effective relationships with both internal and external customers. The role will be within a fast-paced, team-oriented environment.
Core Role Responsibilities- Review sales contracts for HOA required status and input data into CRM with high accuracy
- Work within processing team to send out initial HOA packets at time of job processing.
- Work directly with Sales Reps, Customers, and at times directly with the HOA on contract addenda and other required paperwork items to ensure we have all the needed information to approve a sale
- Manage HOA specific email inbox and respond in a timely manner
- Weekly follow-ups on all HOA open orders
- Validate and enter approval information into CRM and request modifications based on approvals/denials with the EDCs in the form of a change order.
- Proactively monitor various reports and actions upon when needed until resolution
- Process change orders, proactively track progress along pipeline and contact Sales and customers until completed
- Collaborate with the Quoting and Ordering teams on approvals or clarifications needed by customers or their HOA in order to obtain approvals.
- This role will also encompass other administrative duties within branch operations as assigned, to support the overall efficiency and effectiveness of the team.
- High school Diploma or GED required
- 2+ years industry experience or similar
- Data entry
- Admin experience
- Proficiency in Microsoft Office
- Expertise in CRMs; MS Dynamics experience a plus
- Customer-centric mindset
