Job Description

This position is responsible for providing planning assistance and advice to all Champions Gate clients and members, as well as coordinating all aspects of local catering events once the file is turned over by the Catering Sales Manager. The role merchandises the hotel function space to maximize revenue and ensures that the customer has the best possible meeting experience.

Responsibilities
  • Coordinate a detailed schedule of programs, including meeting set‑up, audio/visual requirements, room reservations, airport pickups, recreational activities, food & beverage and special functions.
  • Lead clients through all aspects of planning, resulting in a complete, detailed program.
  • Act as Omni Champions Gate’s liaison between client and staff.
  • Recommend full usage of facility services to clients and stay up to date on current pricing and operational procedures.
  • Prepare detailed coordination sheets for use by client and operational staff.
  • Prepare program budgets as requested.
  • Stay current on “things to do” in Orlando.
  • Research and book client entertainment.
  • Prepare detailed meeting room and function room diagrams for operational use.
  • Distribute agendas to both Convention Services and Catering teams.
  • Coordinate and book tee times for all four courses for our groups.
  • Manage group sleeping room inventory.
  • Attend weekly SWP and Group Pickup meetings.
  • Monitor client’s program while on property to ensure a well‑run meeting; track daily progress and communicate changes.
  • Seek repeat business and referrals for follow‑up by the sales team.
  • Attend department meetings and other company‑required trainings.
  • Complete other duties as assigned by management and communicate event details to operating departments and customers in a timely manner.
  • Coordinate menu tastings with customers following established procedures.
  • Participate in site inspections to assist Catering Sales Managers.
  • Effectively use hotel software systems to manage time, event details, and communication.
  • Coordinate menus, room setups, audio/visual needs, parking, and other essential activities related to producing a successful event.
  • Achieve all revenue and Medallia goals assigned by the Director of Catering and Convention Services.
  • Be knowledgeable about all hotel (and competitive set hotels) capabilities, including front desk, reservations, room service, and catering.
  • Merchandise function space and attain maximum room rental wherever appropriate.
  • Follow all guidelines regarding catering merchandising, space release, and “free sell” opportunities.
  • Continuously refine product/concept offering.
  • Engage in industry‑related activities.
  • Achieve budgeted banquet and catering revenue goals.
  • Provide support and direction to administrative staff.
Qualifications
  • Minimum three years of planning experience, preferably in a hotel or resort.
  • College degree preferred; work experience may substitute for education.
  • Proficient with Excel, Word, Outlook, and PowerPoint;
    Delphi experience is a plus.
  • Highly organized, detail oriented, and able to multitask.
  • Must maintain regular attendance; irregular attendance may result in disciplinary action up to termination.
  • Must be willing to work varying schedules to reflect hospitality industry needs.
  • Must attend all scheduled training sessions and meetings.
  • Must fully comply with Omni rules and regulations for safe and effective operation of hotel facilities.
  • Must be aware of all corporate‑sponsored promotions.
  • Develop and implement individual quarterly and annual action plans (KRA's).
  • Submit required reports on a timely basis.
Physical

Job Requirements (for Essential Functions Only)
  • Ability to sit and use telephone/computer for an entire shift.
Working Environment
  • Office environment with occasional travel around the property.
