Zev Cohen & Associates, Inc. is currently seeking a full-time Construction Administrator with 3+ years of experience for our Ormond Beach, FL office. The Construction Administrator ensures submittals are processed accurately and efficiently, verifying that contractor shop drawings, product certifications, and RFI responses conform to the approved construction plans, municipal standards, and specifications before work proceeds. This role is the quality control point personfor design-conformance documentation on assigned projects.
CoreResponsibilities
- Shop drawing review: Review contractor shop drawings and compare them line-by-line with the approved construction plans, municipal standards, and specifications; identify discrepancies, deviations, and non-conforming items, and document them clearly for resolution.
- Certification review: Review of as-built drawings to verify that installed improvements are consistent with the approved construction plans, prepare the Permitting Agency Certification paperwork and coordinate the submittals.
- RFI management: Review contractor Requests for Information, interpret the governing plans and specifications, present recommendations to the Engineer of Record and coordinate the response to the Contractor.
- Submittal tracking: Maintain organized logs of submittal and RFI status so reviewers, contractors, and stakeholders always know what is open, returned, or approved.
- Visit construction sites: Visit sites as needed for inspections to verify information or to attend meetings.
- Demonstrated ability to review and compare contractor shop drawings against plans, municipal standards, and specifications.
- Ability to interpret construction plans, specifications, and contracts, and apply them to submittal and RFI reviews.
- Strong attention to detail with the ability to spot discrepancies and potential issues during document review and field observation.
- Clear written and oral communication — submittal review comments, RFI responses, and reports must be precise and actionable.
- Self-directed and organized, able to manage submittal/RFI workflows across multiple projects with minimal supervision.
- 3+ years of experience in construction administration, including submittal and RFI processing.
- Relevant certifications in construction inspection.
- Proficiency in utilizing the Microsoft Office suite.
