Your roleAs an Executive Assistant at our accounting firm, you will play a vital role in ensuring that the Tax Partners' workflow runs smoothly and supporting high-level executives in their day-to-day responsibilities. This role is crucial in ensuring efficiency, timeliness and effective communication in helping the firm's leadership stay organized, manage workloads effectively and maintain smooth operations.
Responsibilities include:
- Managing the calendars of the Partners, scheduling meetings, client appointments, and ensuring there are no scheduling conflicts.
- Coordinate travel arrangements and expense reports.
- Managing Partner emails, phone calls, and other communications, ensuring important messages are prioritized and responses are timely.
- Onboarding new clients, including preparing proposals, assisting with gathering the information/documentation needed from clients for set up, preparation of engagement letters and obtaining signatures and coordinating CRA access.
- Serving as a point of contact for clients, scheduling meetings, answering inquiries or basic questions about services.
- Helping maintain strong client relationships.
- Managing client WIP, preparing client invoices and coordinating efforts with the engagement teams.
- Preparing important documents, presentations, and internal reports, ensuring they are well-organized, accurate, and meet the firm's standards. Including assisting with tax returns, financial statements.
- Assisting with various firm projects, such as tax season preparations (e.g., proactively contacting clients for year-end documents), basic T1 audit requests, placing calls to CRA, etc.
- Conducting detailed research as required.
- 10+ years in progressive administrative roles
- 2+ years in an executive assistant role, supporting a senior leader, preferred
- Bachelor’s degree an asset;
College Diploma required - Expert knowledge of a professional services environment; public accounting firm experience an asset
- Expert with Office 365
- Resourceful with exceptional communication and problem-solving skills
- Strong presentation and client relationship management skills

Courtice, with travel to our Cobourg office as needed. Mileage will be paid for interoffice travel.
