Clerk 2 (Staffing Clerk) – Centralized Scheduling (CSSO)
Ontario Shores Centre for Mental Health Sciences seeks an individual with excellent communication and problem‑solving skills to serve as a Staffing Clerk in our Centralized Scheduling Office. The Clerk reports to the Manager, CSSO and will be responsible for updating and maintaining staffing schedules.
Responsibilities
Update and maintain staffing schedules using the Meditech system on a daily basis.
Liaise with Clinical Managers and the Scheduling Manager to resolve schedule discrepancies and shift requests.
Process relief coverage requests from clinical units and adjust staffing based on existing staff availability and workload needs.
Allocate and call in relief staff to fill vacancies due to unfilled positions, vacations, leave of absence, sickness, or workload adjustments in accordance with the collective bargaining agreement.
Qualifications
Grade 12 Ontario Secondary School Diploma or equivalent.
Minimum of two years clerical experience in a hospital/health‑care setting.
Data entry skills – minimum 30 words per minute at 90% accuracy.
Excellent organizational skills and attention to detail, capable of prioritizing workflow in a busy environment with interruptions.
Intermediate Microsoft Office skills (Windows, Excel, PowerPoint, Outlook).
Knowledge of Meditech Staff Scheduling or other scheduling software is a definite asset.
Strong interpersonal skills, including demonstrated communication and presentation abilities.
Ability to work cooperatively with staff at all levels of the organization.
Self‑directed and responsive to requests in a timely manner.
Ability to learn new computer programs quickly.
Problem‑solving abilities using defined policies and procedures.
Satisfactory work performance and attendance record.
